Position Overview

We are looking for a friendly, dependable, motivated, and patient-focused Medical Office Assistant / Unit Clerk to join our growing healthcare team.

New graduates are welcome and encouraged to apply.

Training will be provided to suitable candidates who demonstrate professionalism, reliability, strong communication skills, a positive attitude, and a genuine willingness to learn.

The successful candidate will work as part of a supportive team and must be comfortable managing multiple responsibilities while maintaining accuracy, professionalism, compassion, and excellent patient service.

Responsibilities

Responsibilities include, but are not limited to:

  • Greeting and assisting patients in a friendly, respectful, and professional manner
  • Answering, screening, and directing telephone calls
  • Booking, confirming, rescheduling, and cancelling patient appointments
  • Creating and maintaining accurate patient charts in the Healthquest EMR system
  • Performing ECGs
  • Assisting with the application of Holter monitors
  • Assisting with 24-hour blood pressure monitors
  • Preparing patients and clinical areas for testing
  • Recording patient height, weight, blood pressure, and other required information
  • Receiving, signing for, and directing deliveries
  • Supporting the opening and closing of the clinic
  • Maintaining patient confidentiality
  • Following clinic policies, procedures, and safety requirements
  • Assisting physicians, technologists, and other team members as required
  • Supporting the daily organization and workflow of the clinic
  • Completing additional administrative or clinical-support duties assigned by clinic management

Qualifications

We welcome applications from both experienced Medical Office Assistants and recent graduates.

Candidates should have:

  • A Medical Office Assistant, Unit Clerk, or equivalent recognized certificate
  • A secondary school diploma
  • Knowledge of medical terminology
  • Strong verbal and written English communication skills
  • The ability to read, write, and communicate clearly in English
  • Excellent organizational and multitasking abilities
  • A friendly, respectful, professional, and patient-focused attitude
  • The ability to work independently and as part of a team
  • The ability to work effectively in a fast-paced environment
  • A willingness to learn, accept feedback, and participate fully in training
  • Dependability, punctuality, and attention to detail
  • Current Basic Life Support certification, or the ability to obtain it as required
  • Legal authorization to work in Canada

Recent graduates from a recognized Canadian Medical Office Assistant or Unit Clerk program are encouraged to apply.

Previous experience is considered an asset; however, candidates who are willing to learn and successfully complete the clinic’s training program may also be considered.

Training

Training may be provided in the following areas:

  • Healthquest EMR
  • Patient appointment booking
  • Medical chart creation and maintenance
  • ECG procedures
  • Holter monitor application
  • 24-hour blood pressure monitor application
  • Patient preparation
  • Clinic opening and closing procedures
  • Telephone communication
  • Patient-service standards
  • Clinic policies, procedures, and workflow

Candidates must be ready, willing, and able to participate fully in training and demonstrate continued progress throughout the training period.

Experience Considered an Asset

The following experience would be considered an asset:

  • Medical Office Assistant or Unit Clerk experience
  • Healthquest EMR experience
  • Medical appointment-booking experience
  • Experience working in a medical clinic
  • Experience performing ECGs
  • Experience applying Holter monitors
  • Experience applying 24-hour blood pressure monitors
  • Experience in Cardiology or Internal Medicine
  • Team-lead or supervisory experience

Experience is welcomed but may not be required for the right candidate who demonstrates a strong willingness to learn.

Language Skills

Candidates must:

  • Speak English fluently
  • Read English proficiently
  • Write English proficiently
  • Communicate clearly and professionally with patients, physicians, and team members

The ability to speak Punjabi, Hindi, Tagalog, French, Russian, or another language commonly spoken by our patients would be considered an asset but is not required.

Availability Requirements

Candidates must be available to work a combination of:

  • Day shifts
  • Evening shifts
  • Monday-to-Friday shifts
  • Weekend shifts, as required
  • Statutory holidays, where operationally required

Schedules may vary depending on patient-care requirements, staffing needs, and clinic operations.

Work Authorization Requirements

Candidates must already be legally authorized to work in Canada.

Applicants may be:

  • Canadian citizens
  • Permanent residents of Canada
  • Individuals who currently hold valid authorization to work in Canada

Candidates whose permanent residence application or permanent resident card is already in process may be considered, provided they currently have valid legal authorization to work in Canada.

Applicants must be prepared to provide appropriate documentation confirming their legal authorization to work in Canada before employment begins.

Submitting a permanent residence application alone does not provide authorization to work. Candidates must hold valid work authorization at the time of hiring.
