Job Overview
We are seeking a dedicated and organised Medical Office Administrator to join a specialist vein clinic focused on minimally invasive procedure, to manage reception, bookings, and procedure-related sales. The successful candidate will be responsible for providing administrative support within a busy medical practice, ensuring smooth daily operations and excellent patient service.

Duties

  • Greet and check patients in and out; answer phones and emails.
  • Book, confirm, and adjust appointments to optimize physician and procedure schedules.
  • Coordinate in-clinic procedures (prep, room turnover, post-visit instructions within your scope).
  • Enter and update patient information and encounters in the EMR accurately.
  • Process payments for private procedures/products and reconcile daily totals.
  • Educate patients on treatment options using clinic-approved information and scripts.
  • Follow up on inquiries, pending quotes, and cancellations to support booking and revenue targets.
  • Perform routine admin tasks (faxing, scanning, filing, voicemail/email management).

Experience

  • Minimum 3 year experience in a medical, dental, or allied health office (front desk or coordinator).
  • Minimum 1 year of experience in sales or patient conversion (health, dental, aesthetics, or similar).
  • Strong comfort with phones, scheduling systems, and EMR-style software.
  • Excellent spoken and written English; professional, clear communication style.
  • Proven ability to work independently, prioritize, and follow through without close supervision.

Assets

  • Experience in a vein, surgical, dermatology, or aesthetics clinic.
  • Previous EMR experience.
  • Additional languages (e.g., Spanish or Korean) are an asset.
