Patient Care Coordinator & Clinic Operations Assistant

Lift Skin Health & Laser – Maple Ridge, BC

Are you an organized, professional, and personable administrator who thrives in a fast-paced client-focused environment?

Lift Skin Health & Laser is an award-winning medical aesthetics clinic dedicated to providing exceptional client care, advanced skin treatments, and a luxury experience from the moment our clients walk through the door. We are looking for a mature, detail-oriented Patient Care Coordinator & Clinic Operations Assistant to become an integral part of our growing team.

This is much more than a reception position. We are looking for someone who takes pride in creating exceptional client experiences, enjoys keeping operations running smoothly, and is excited to contribute to the long-term success of our clinic.

About You

You are someone who naturally stays one step ahead. You enjoy being organized, solving problems, anticipating the needs of others, and creating a welcoming environment for clients.

You are confident communicating with people from all walks of life and remain calm and professional, even during busy periods. Most importantly, you are looking for a long-term career in administration within the medical aesthetics or healthcare industry.

Responsibilities

Your responsibilities will include:

  • Greeting clients and creating a warm, welcoming experience
  • Answering phones, emails and online inquiries
  • Scheduling appointments and managing provider calendars using Jane App
  • Processing payments and reconciling daily transactions
  • Assisting clients with skincare and treatment recommendations (training provided)
  • Coordinating retail sales and maintaining attractive product displays
  • Managing inventory, receiving shipments and placing product orders
  • Confirming appointments and maintaining cancellation and waitlists
  • Following up with consultation inquiries and helping clients schedule treatment plans
  • Preparing reports and assisting with clinic administration
  • Maintaining client records and ensuring documentation is complete
  • Assisting with social media content, reviews and marketing initiatives
  • Supporting the owners with administrative and operational projects
  • Maintaining the cleanliness and organization of the reception and retail areas
  • Helping ensure every client receives an exceptional experience from beginning to end

Qualifications

We're looking for someone who has:

  • Minimum 3 years of administrative or reception experience
  • Previous experience in a medical aesthetics clinic, medical office, dermatology, plastic surgery, dental, physiotherapy, or other healthcare environment
  • Exceptional customer service skills
  • Outstanding verbal and written communication
  • Strong computer skills and confidence learning new software
  • Excellent organizational and multitasking abilities
  • Professional appearance and positive attitude
  • Ability to work independently while supporting a collaborative team
  • Experience with Jane App is considered a strong asset
