Pediatric Scheduling & Administrative Assistant
WeKare Nursing & Homecare Services
WeKare Nursing & Homecare Services is seeking a highly organized and detail-oriented Pediatric Scheduling & Administrative Assistant to support our Pediatric Respite Nursing Program.
The successful candidate will assist with coordinating nursing schedules, communicating with nurses and families, maintaining accurate administrative records, and supporting orientation and training requests.
Position Details
Position: Pediatric Scheduling & Administrative Assistant
Employment Type: Part-Time
Schedule: Wednesday, Thursday & Friday
Hours: 9:00 AM–3:00 PM, with a 30-minute unpaid lunch
Paid Hours: 16.5 hours per week
Wage: $22.00–$24.00 per hour, based on education and experience
Key Responsibilities
· Assist with coordinating and maintaining pediatric respite nursing schedules using AxisCare, considering client needs, family preferences, nurse availability, and staffing requirements.
· Communicate with nurses, families, the clinical team, and Nursing Support Services (NSS) regarding scheduling requests, changes, cancellations, and updates.
· Monitor scheduling communications and follow up on outstanding requests.
· Maintain accurate client and nursing administrative records using SharePoint and other internal systems.
· Prepare and maintain Microsoft Excel spreadsheets for monthly reporting and program tracking.
· Coordinate and track nurse orientation and training requests, including registrations, approvals, documentation, and completion.
· Use Microsoft Outlook and Teams for communication, scheduling, and team collaboration.
· Provide general administrative support to the Pediatric Respite Nursing Program.
· Maintain confidentiality and accuracy when handling client, family, and employee information.
Qualifications
· Graduation from a recognized Office Administration, Business Administration, or related program, or an equivalent combination of education and experience.
· Minimum 1 year of recent administrative, scheduling, healthcare, or office experience.
· Strong organizational, time-management, and prioritization skills.
· Excellent attention to detail and ability to follow through on tasks.
· Strong verbal and written communication skills.
· Proficiency with Microsoft Outlook and Excel.
· Ability to work independently and manage multiple priorities in a fast-paced environment.
· Experience with SharePoint, AxisCare, healthcare, home care, or nursing scheduling is considered an asset. Training on internal systems will be provided.
