Medical Office Assistant (13 Month Maternity Leave)

The Younger Facial Surgery Centre is seeking a dynamic and talented recent grad to join our team. This is a role for a Medical Office Assistant (MOA) , who will assist our Medical Office Manager in running our small, dynamic and crazily busy medical office for facial plastic surgery.

This is a rare opportunity to work closely with Dr. Ritchie A. L. Younger , one of Canada’s leading facial plastic surgeons and Heidi Daly, our Medical Office Manager. Dr. Younger is well known for his high ethical standards and professional skills in facial plastic as well as reconstructive surgery.

This position is ideal for someone that is just starting out in their career, and who possesses strong social skills and a high-energy level, and have a willingness to learn. Previous experience is preferred but not necessary.

Key responsibilities:

  • Answering phone calls, emails and booking appointments
  • Greet and meet our patients
  • Update our voicemail as needed based on the season
  • Submit paper work to the hospitals as needed
  • Adding referrals to our digital system (we work with Profile from Intrahealth)
  • Calling patients to confirm or update their contact information
  • Follow up with our patients following surgery as part of our post-surgical care
  • Sending out digital intake forms with IntakeQ.com
  • Editing and sending consult letters
  • Filing and preparing charts for the day after
  • Making sure that surgical patients have received detailed written instructions about their surgery as well as checking that consent forms are filled out
  • Keeping track of cosmetic patients and when they need to come in for their after-photos
  • Communicate with our marketing agency and assist in creating social media content
  • Fill in at the front desk when Heidi Daly is out of the office
  • Keep tabs on our supplies and proactively order when there are new ones needed
  • Other temporary duties as needed

This position is full time and has a good chance of becoming permanent, once the maternity leave is over. Our clinic coordinator Amanda will train you.

Qualifications for this opportunity:

  • MOA training or similar
  • Excellent writing skills
  • General knowledge and interest in procedures and medical terminology
  • Demonstrated organisational and problem-solving skills
  • Excellent interpersonal, verbal and written communication skills
  • A positive and extrovert disposition
