Riverside Orthodontics is a specialist orthodontic practice in Riverside South, Ottawa, established in January 2026. As the practice continues to grow, we are seeking an experienced professional to lead our administrative and patient coordination functions.

The role combines office management, treatment coordination and front desk leadership. It carries responsibility for the patient experience from first enquiry through to the commencement of treatment, and for the administrative systems that support a growing specialist practice. This is a senior position rather than a reception role, and it reports directly to the orthodontist.

RESPONSIBILITIES

- Reception and day-to-day management of the front desk

- Presentation of treatment plans, including fees, insurance coverage and payment options

- Ownership of the new patient journey, from initial enquiry through to treatment start

- Structured follow-up with patients who have completed an examination but not yet commenced treatment

- Management of the appointment schedule and the recall system

- Insurance submissions, billing, accounts receivable and administration of payment plans

- Accurate and complete record keeping within the practice management software

- Development and documentation of office procedures and protocols

- Regular reporting to the orthodontist on practice performance

QUALIFICATIONS

- A minimum of two years in a dental or orthodontic practice, in a treatment coordinator, office manager or senior administrative capacity

- Demonstrated experience presenting treatment plans and conducting financial discussions with patients and families

- Proficiency with practice management software. Familiarity with Ortho2 Edge is an asset, although training will be provided to the right candidate

- Sound organizational judgement, and the initiative to establish systems independently rather than await direction

- A professional and welcoming manner with patients, parents and referring offices

- Fluency in French or Arabic is considered a significant asset, given the families we serve

WHAT THE PRACTICE OFFERS

- Compensation of $58,000 to $72,000 annually, commensurate with experience, together with a performance bonus linked to practice growth

- Schedule:

Monday and Wednesday, 8:00 am to 6:00 pm

Tuesday and Thursday, 8:00 am to 4:00 pm

Friday, 9:00 am to 1:00 pm
