While our audiologists provide expert clinical care, our administrative team is the heart of the clinic—creating a welcoming environment, keeping everything running smoothly, and ensuring every patient feels supported from their first call to their final follow-up.

Job Summary

We are seeking a friendly, reliable, and organized Office Administrator to be the first point of contact for our patients while supporting the day-to-day operations of our clinic. The ideal candidate is a team player who thrives in a fast-paced environment and is committed to providing outstanding care and service.

Key Responsibilities

  • Greet clients warmly;
  • Manage patient check-in and check-out process;
  • Answering phone calls;
  • Answering email inquiries;
  • Scheduling appointments;
  • Collect, verify and update client information;
  • Maintain accurate and up-to-date patient records by documenting conversations, hearing aid shipments, appointments, and other relevant clinical and administrative events;
  • Prepare shipment of hearing aids;
  • Collaborating with staff to ensure a smooth experience for clients and a pleasant environment for all;
  • Minor hearing aid repairs (growth opportunity);

Qualifications

  • High school diploma required; post-secondary education in office administration is an asset.
  • 2+ years of office administration or administrative assistant experience preferred.
  • Bilingual (French/English) preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Attention to detail and accuracy.

Benefits

  • Healthcare stipend of $1,500.00 CAD per annum.
  • 5 days of paid sick leave
  • 10 days of paid vacation
