We don't just work under the same roof—we work collaboratively to provide exceptional care. As the heartbeat of our Carleton Place clinic, you’ll be the face of our mission. This role is essential in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience with medical or dental offices, QuickBooks, and Google Workspace is preferred. This position offers an opportunity to work in a dynamic setting where customer service and organizational skills are highly valued.

Duties

  • Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
  • Handle filing, document proofreading, and general clerical tasks to support office efficiency
  • Assist with bookkeeping and basic financial record keeping using QuickBooks
  • Provide excellent customer support and respond promptly to inquiries
  • Schedule appointments, coordinate meetings, and manage calendars
  • Support administrative projects such as preparing reports, organizing files, and maintaining office supplies
  • Ensure the office environment remains organized, clean, and welcoming

Requirements

  • Proven clerical or administrative experience, preferably in medical or dental offices
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry
  • Experience with QuickBooks and bookkeeping is a plus
  • Excellent organizational skills with attention to detail and accuracy
  • Ability to handle multi-line phone systems professionally and courteously
  • Strong typing skills along with proofreading capabilities
  • Exceptional customer service skills and professional phone etiquette
  • Ability to manage multiple tasks efficiently in a fast-paced environment
  • Prior experience in medical or dental office settings is advantageous but not required
