Mississauga, ON
Every other Friday OFF, | 1 evening per week until 7 PM | No weekends

Overview

As a Front Desk & Patient Coordinator, you play a vital role in ensuring a seamless, positive experience for every patient. You are the first and last impression of the office and are essential in maintaining a full, efficient schedule while providing compassionate, professional service.

Key Responsibilities

  • Greet and check in/out patients warmly and professionally, setting a positive tone for their visit.
  • Manage and confirm appointments to maintain an efficient and productive schedule, with a focus on the doctor’s schedule.
  • Update patient records accurately, including medical history and consent forms.
  • Process insurance claims (assignment and non-assignment).
  • Use dental software systems (Curve; experience is a plus) for scheduling, record keeping, and communication.
  • Support treatment coordination, including sending estimates, creating financial agreements, and following up on unscheduled treatments.
  • Handle patient inquiries via phone, email, and text with empathy, clarity, and professionalism.
  • Collaborate closely with the clinical and administrative team to ensure smooth daily operations and an exceptional patient experience.
  • Contribute to new patient growth and retention through excellent customer service and patient engagement.

Patient Interaction & Communication

  • Greet all patients upon arrival and departure with warmth and professionalism.
  • Provide office tours to new patients to enhance their comfort and familiarity.
  • Handle all incoming communication (phone, email, text) promptly and courteously.
  • Address treatment-related questions and guide patients through options and next steps.
  • Request and log patient feedback; encourage online reviews.
  • Send thoughtful patient cards.
  • Engage empathetically with patients, especially those with dental anxiety.

Scheduling & Coordination

  • Confirm appointments and manage rescheduling to maximize productivity.
  • Prioritize filling the doctor’s schedule while accommodating hygiene and patient needs.
  • Follow up on treatment plans to assist in case acceptance and scheduling.
  • Support patients in understanding procedures and financial responsibilities.

Check-Out & Financial Transactions

  • Check patients out after appointments, ensuring proper documentation.
  • Collect payments, post transactions, and review insurance details.
  • Prepare and present financial agreements clearly and respectfully.
  • Accurately send treatment estimates and follow up as needed.

Office Support & Teamwork

  • Keep the front desk and reception area tidy and welcoming.
  • Participate actively in team meetings and continuous improvement initiatives.
  • Communicate effectively with clinical staff to ensure patients are prepared and informed.
  • Assist in onboarding and supporting new patients throughout their journey.

What We’re Looking For:

  • 2+ years of dental administration / treatment coordination experience
  • Strong communication skills and a positive, team-oriented mindset
  • Experience with Curve software (preferred)
  • Organized, self-motivated, and eager to help patients
  • Able to work one evening per week until 7 PM
  • Experience with Google Docs and MS Office (Word, Excel)
