Job Overview

We are seeking a dynamic and highly professional Full-Time Administrative Specialist to join our Oakville Denturist Clinic. This role is pivotal in delivering exceptional high-end customer service while managing a busy front desk environment. The ideal candidate will be the welcoming face of our clinic, ensuring smooth daily operations, accurate appointment scheduling, and seamless communication between patients and our healthcare team. Duties

  • Greet patients and visitors warmly, creating a positive first impression of the clinic
  • Manage multi-line phone systems efficiently, directing calls and taking detailed messages
  • Handle patient inquiries with professionalism, providing clear information about services and procedures
  • Maintain organized patient records within electronic medical records systems
  • Administrative tasks such as verifying insurance, processing payments, and updating medical terminology as needed
  • Coordinate with clinical staff to ensure smooth patient flow and timely appointment management
  • Support the clinic’s daily operations by managing correspondence, filing, and office supplies

Qualifications

  • Proven experience as a dental receptionist or in a dental/medical office environment
  • Strong knowledge of dental office software
  • Excellent communication skills, both verbal and written, with a focus on high-end customer service
  • Ability to handle multi-line phone systems efficiently while maintaining professionalism under pressure
  • Knowledge of medical terminology relevant to dental care and patient documentation
  • Previous experience working with medical or dental office administrative procedures and office experience in a healthcare setting is preferred
  • Demonstrated organizational skills with attention to detail in record keeping and scheduling
