Full job description

We are looking for a professional, organized, and energetic Office Coordinator to support the day-to-day operations of our businesses.

The ideal candidate will have experience working in retail, healthcare, and marketing environments and will be comfortable handling office administration, customer communication, scheduling, coordination, follow-ups, and marketing support.

We are looking for someone who is well-spoken, organized, detail-oriented, proactive, and comfortable dealing with customers, healthcare professionals, vendors, and internal team members.

Responsibilities

  • Coordinate day-to-day office and administrative activities
  • Manage phone calls, emails, appointments, calendars, and meetings
  • Communicate professionally with customers, clients, patients, vendors, and healthcare professionals
  • Maintain organized files, records, documents, and correspondence
  • Assist management with daily operational requirements
  • Coordinate schedules and follow up on outstanding tasks
  • Assist with customer and client inquiries
  • Support front-desk and reception activities when required
  • Coordinate with vendors, suppliers, contractors, and service providers
  • Assist with healthcare-related office administration and scheduling
  • Maintain confidential and sensitive information appropriately
  • Assist with preparation of reports, presentations, spreadsheets, and correspondence
  • Support marketing initiatives and promotional activities
  • Assist with social media, email marketing, online listings, and marketing materials
  • Coordinate marketing campaigns with outside vendors or agencies
  • Help organize events, promotions, meetings, and business activities
  • Assist with retail-related customer service and operational requirements
  • Maintain databases, contact lists, and follow-up records
  • Ensure office supplies and administrative materials are properly maintained
  • Perform other administrative and operational duties as required

Qualifications

  • Previous office coordination or administrative experience
  • Experience in retail, healthcare, and/or marketing is strongly preferred
  • Experience working in a healthcare, medical, wellness, or clinic environment is an asset
  • Previous retail or customer-facing experience is an asset
  • Marketing, social media, or promotional experience is an asset
  • Strong verbal and written communication skills
  • Excellent organizational and time-management skills
  • Strong attention to detail
  • Ability to manage several responsibilities at the same time
  • Professional and confident when communicating with different types of people
  • Strong follow-up skills
  • Good knowledge of Microsoft Word, Excel, Outlook, and general office software
  • Comfortable learning new software and systems
  • Ability to work independently and as part of a team

Education

  • College diploma or university degree in Business Administration, Office Administration, Health Sciences, Healthcare Administration, Marketing, Communications, or a related field is preferred
  • Relevant professional experience may also be considered

Pay: $20.00-$25.00 per hour
