Duties

  • Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
  • Handle data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records
  • Provide exceptional customer service by addressing inquiries promptly and supporting clients or patients in a friendly manner
  • Assist with administrative tasks such as proofreading documents, scheduling appointments, and coordinating meetings
  • Support medical or dental office functions by managing patient records, verifying insurance information, and assisting with billing processes
  • Perform clerical duties including photocopying, faxing, mailing, and managing office supplies to keep the workspace well-stocked and efficient

Requirements

  • Proven experience in an administrative or clerical role within an office setting; medical or dental office experience is a plus
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and general data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Demonstrated customer service skills with professional phone etiquette and a friendly demeanor
  • Experience managing multi-line phone systems and front desk responsibilities
  • Attention to detail for proofreading documents and maintaining accurate records
  • Ability to handle confidential information discreetly while demonstrating strong organizational skills
  • Prior experience in bookkeeping or basic financial record management is desirable
