Full job description

The Department of Emergency Medicine (DEM) is a dynamic, innovative, and growing department of the Faculty of Medicine at the University of Ottawa. DEM Program Administrators are employed by The Ottawa Hospital Emergency Physicians Associates within our team of 20 administrative staff, 60 residents, and over 110 faculty physicians.

We are seeking an innovative, enthusiastic, and organized team player to join our group as Program Administrator with responsibilities within postgraduate and fellowship programs. You will work with an exceptional team of learners, Program Directors, your administrator peers and several internal and external stakeholders to help the DEM achieve its vision of world-class emergency medicine and its mission to provide outstanding compassionate emergency care through practice-changing research and innovative medical education

Academic program administration means you have the skills and desire to make a program great and to make the learning experience an amazing one. You will lead, participate in, and support the planning, implementing and evaluating of a wide range of academic activities.

POSITION DETAILS

· Temporary full-time, Monday-Friday. (until approximately June 26, 2027).

· Hybrid working model - currently ~2 days/week in the office (Civic Campus of The Ottawa Hospital) and 3 days/week at home.

· Salary commensurate with experience. We have an excellent benefits package including HOOPP (pension plan).

The Program Administrator role requires a highly organized “people person” who likes to be busy, with key responsibilities including:

  • Supporting a Residency Program;
  • Supporting Fellowship programs;
  • Planning and coordinating resident and fellow rotations;
  • Organizing Academic Day sessions, workshops, and educational events;
  • Coordinating meetings, committees, and special projects;
  • Serving as a primary point of contact for residents, fellows, faculty, and external partners;
  • Managing schedules, calendars, and program communications;
  • Supporting recruitment, onboarding, and orientation activities;
  • Maintaining program records, accreditation-related documentation, and databases;
  • Problem-solving and responding to a variety of day-to-day operational needs;
  • Assisting with event planning, learner wellness initiatives, and program activities;
  • Working collaboratively with physicians, learners, hospital departments, and university partners to support the success of the programs.

· Excellent interpersonal skills with an enjoyment for working in a multidisciplinary, fast-paced, and challenging environment.

· Outstanding organizational and problem-solving skills and strong attention to details.

· Ability to work both independently and as part of a high-functioning team.

· Willingness to learn new things, share your experiences, and make things better.

Required Qualifications:

· A minimum of 2 years’ experience in a related position with post-secondary education in the office or medical administration field.

· Expert skills in Microsoft Office / Microsoft 365 suite of apps, especially SharePoint.

Preferred Qualifications:

· Knowledge of the Faculty of Medicine at the University of Ottawa’s systems and tools (i.e. One45).

· Proficiency (oral and written) in both English and French.
