Full job description

For more than 15 years, St. George Wellness Centre has served the community with patient-focused care across a range of health and wellness disciplines.

St. George Wellness Centre is looking to hire an Office Manager for our clinic. We are looking for someone who enjoys variety, thrives in a welcoming environment, and has a natural ability to make people feel cared for.

The Role

You will manage the day-to-day operations of the clinic, ensuring an exceptional patient experience from first contact to follow-up; and lead a small reception team; and respond to practitioner’s queries. This role blends administrative leadership with full knowledge of our service offerings. You will be equally comfortable managing schedules and supervising staff as you are guiding a new patient through their care options.

Clinic Operations

  • Oversee the clinic's daily operational flow, proactively identifying and resolving bottlenecks while reviewing data and operational insights to inform workflow improvements and support data-driven decision-making
  • Respond to practitioner questions and provide clear, practical recommendations to support clinic operations, inspiring team culture and positivity.
  • Contributes to resource planning and budget considerations related to clinic operations, staffing, and service delivery, including staff retention.
  • Maintain accurate patient records, consent forms, and documentation in compliance with privacy requirements (PHIPA/FIPPA)
  • Develops, maintains, and updates clinical and operational procedures, including SOPs
  • Review website and update as required
  • Review advertising and optimize outreach programs
  • Develop new service offerings and promotional initiatives that support patient retention, staff engagement, and overall practice growth
  • Manage vendor relationships and assist with inventory tracking for products and supplies
  • Maintain financial records for accounting
  • Educate prospective patients on available treatments and guide them toward the appropriate consultation, Care coordination with staff and patient.

Front Desk

  • Serve as the primary point of contact for new patient inquiries via phone, email, and online
  • Schedule new and returning patients with accuracy and efficiency, optimizing practitioner availability
  • Greet patients warmly, track intake paperwork, and ensure smooth check-in/check-out workflows
  • Handle patient billing inquiries, process payments.
  • Follow up with patient’s inquiries
  • Coordinate with the clinical team on scheduling, room readiness, and supply needs
  • Maintain a clean, organized, and welcoming environment
  • WSIB and MVA record submissions

Qualifications

  • 5+ years clinic office management experience with MVA and WSIB
  • Strong proficiency with scheduling software, and standard office tools. Experience with Clinic Master software considered a bonus
  • Excellent communication and relationship building

Pay: $52,000.00-$58,000.00 per year
