What you will do:

  • Ensure smooth operations of clinic services and delivery.
  • Perform a wide variety of clerical and administrative tasks supporting patients, physicians, allied health providers, and the broader clinic team, which can include the following:
  • Answer the phone, schedule and confirm medical appointments, greet patients, receive and communicate messages
  • Use health software, and other computer applications, to book appointments or prepare reports, invoices, financial statements, letters, case histories and medical records
  • Ask patients questions to complete intake forms or other documents
  • Complete insurance and other claim forms
  • Process payments, bank documents, and accounts receivable
  • Ensure patient demographics are up to date and accurate
  • Set up and maintain records management systems including appropriately classifying and coding electronic, and hardcopy files.
  • Operate office equipment including voice mail, messaging systems, photocopiers, fax machines, label machines, blood pressure machines, autoclave, and others as required
  • Keep examination and all clinic areas clean, orderly, and stocked with supplies.
  • Use word processing, spreadsheet, database, and presentation software to prepare medical documentation
  • Perform other clerical and administrative functions which could include ordering and maintaining an inventory of supplies or other tasks as asked
  • Schedule and confirm appointments
  • Receive and communicate messages for STEPS team members and patients
  • Identify and recommend office procedures and routines.
  • Train other staff in processes, procedures and in using software.
  • Move patients in and out of examining rooms, clean the room between the patients, and set up simple trays for procedures done in the office.

Qualifications and Experience Qualifications

  • Relevant education and experience demonstrating significant ability to develop and deliver on the duties and responsibilities of the position.
  • Preference given to those living in the community.

Skills - Required

  • Excellent verbal and written communication, consultative and interpersonal skills, and proven ability to build lasting, positive, productive, collaborative relationships.
  • Ability to work independently and within a team, and effectively motivate and influence others.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks to meet commitments and deadlines.
  • Professional integrity and good judgment to effectively handle sensitive and confidential matters and solve problems or conflict.
  • Proficiency in the use of computers: Microsoft Word, Excel, Outlook, PowerPoint, Telus MedAccess and Internet navigation/research.

Working Conditions

  • The Medical Office Assistant is required to work in-clinic as scheduled.
  • The Medical Office Assistant is required to attend team meetings and events as scheduled.
  • A valid driver’s license and access to a car is required.
  • A cell phone is required.
