Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing various administrative tasks, ensuring efficient communication, and providing excellent patient support. This position requires strong organizational skills and the ability to multitask effectively in a fast-paced environment.

Hours will be co-ordinated with our current Administrations staff member. Options include two full days per week, and possible split shifts if needed.

Duties

  • Manage front desk operations, including greeting patients, booking appointments, taking payments and answering phone calls with professionalism and courtesy.
  • Provide exceptional customer support by addressing inquiries and resolving issues promptly.
  • Maintain organized records and files, ensuring that all documentation is accurate and up-to-date.
  • Conduct proofreading of documents to ensure clarity and correctness before distribution.
  • Operate phone systems efficiently, handling calls and messages as required.
  • Maintain a clean and professional environment; ensuring treatment rooms are sanitized between each patient.
  • Opening and closing of the clinic ensuring smooth daily operations.

Skills

  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent phone etiquette and interpersonal skills for effective communication with patients and colleagues.
  • Experience in a similar front desk role is preferred but not required.
  • Proficiency in Jane App or similar software is a plus.
  • Ability to type accurately and efficiently, ensuring timely completion of tasks.
  • Attention to detail, especially in submitting billing to third party insurance.
