This is not an entry level position. Applicants must have at least five years of recent, hands on MOA experience in a busy health care setting.

The majority of scheduled hours will be weekday daytime shifts. Evening and weekend coverage is also part of this position and will be scheduled as needed.

● Coordinate patient flow with physicians, nurses, and administrative team members

● Book, reschedule, and manage appointments using TELUS CHR

● Manage patient calls, messages, and voicemails with professionalism and sound judgment

● Document clear, complete, and accurate patient messages in the EMR

● Monitor and action incoming faxes and emails, ensuring time sensitive concerns are identified and escalated appropriately

● Complete patient checkout, private billing, payment processing, and receipt issuance

● Support family medicine, after hours, and walk in urgent care workflows

● Respond to patient questions, concerns, and escalations calmly and professionally

● Complete assigned administrative tasks, opening or closing duties, and clinic checklists

● Maintain patient privacy and comply with PHIPA and all confidentiality requirements

What You Bring

● Medical Office Administration diploma, or equivalent experience

● Minimum five years of recent, hands on MOA experience in a busy health care environment

● Experience in family medicine, urgent care, or a busy multi physician clinic

● Strong working knowledge of electronic medical records

● TELUS CHR experience is a strong asset

● Knowledge of OHIP, IFHP, and private billing processes

● Exceptional attention to detail and organizational skills

● Strong critical thinking and problem solving abilities

● Reliable attendance, punctuality, and follow through

● Clear and professional written and verbal communication

● The ability to work independently while contributing positively to a team

● A satisfactory Vulnerable Sector Check as a condition of employment

Schedule Requirements

● Full time, approximately 35 to 40 hours per week

● Most scheduled hours will be weekday daytime shifts

● Availability for weekday days, weekday evenings, and some weekends is required

● Weekday shifts may be scheduled between 7:45am and 8pm

● Weekend shifts are generally scheduled between 8:30am and 3pm

● Closing shifts may extend until the last patient has left and closing duties are complete

● Scheduling is based on clinic needs and is not limited to fixed Monday to Friday daytime hours

Application Process

Please submit a current resume that clearly outlines your MOA experience.

Applicants must meet the minimum five year MOA experience requirement and the availability requirements of the position.
