Full job description

Job Purpose:

The Transportation Coordinator ensures that all transportation activities comply with applicable Canadian federal and provincial legislation, Health Canada requirements, clinic policies, quality-management procedures, privacy requirements, and applicable requirements of destination or transit jurisdictions.

The position requires a strong understanding of the Assisted Human Reproduction Act (AHR Act) and, where applicable, the Safety of Sperm and Ova Regulations, particularly requirements related to donor sperm/ova, traceability, documentation, importing, distributing, and use.

The coordinator acts as the primary operational liaison between patients, IVF laboratories, embryologists, andrologists, physicians, couriers, cryogenic shipping providers, donor establishments, receiving clinics, and regulatory/quality personnel.

Duties & Responsibilities:

Coordinate the complete transportation process for reproductive material from the originating IVF laboratory or fertility clinic to the receiving facility.

· Receive and review transportation requests.

· Confirm authorization for release of reproductive material.

· Verify the identity of the patient(s), donor, material, and receiving facility.

· Confirm destination address and receiving laboratory contact information.

· Determine whether the shipment is:

  • Domestic
  • International
  • Import into Canada
  • Export from Canada

· Coordinate appropriate courier and/or specialized cryogenic transportation services.

· Confirm pickup and delivery dates and times.

· Coordinate shipments around laboratory operating hours and receiving-facility availability.

· Ensure contingency arrangements are available for delays, missed deliveries, flight cancellations, customs delays, or equipment failure.

· Confirm delivery and receipt by the authorized receiving facility.

· Maintain shipment records and traceability.

· Confirm required laboratory/regulatory release documentation is present prior to shipment.

· Escalate discrepancies, delays, damaged containers, customs issues, or other transportation concerns.

· Work with different CReATe departments, including but not limited to: IVF laboratory, Andrology laboratory, nursing departments, QA department.

· Perform other duties as assigned by the Chief Operating Officer (COO) or Medical Director.

The Coordinator must not independently determine donor eligibility unless specifically authorized and qualified to do so. Instead, the Coordinator verifies that the required laboratory/regulatory release documentation is present before transportation.

Qualifications:

· Experience in healthcare administration, logistics/supply chain, life sciences, or equivalent relevant experience.

· Excellent verbal and written communication skills

· Highly proficient in communication and eIVF (EMR)

· Highly detail-oriented & analytical

· Superb organization skills including the ability to multi-task, take initiative, start and complete tasks in a timely fashion

· Ability to work independently as well as in a team-oriented manner

· Willing to function in a fast-paced and changing work environment and able to work with a variety of people with different backgrounds

Working Conditions:

Fast-paced environment, with multiple competing priorities. The candidate will work in compliance with organizational SOPs, PHIPA policies, to ensure patient confidentiality and utmost data quality.

Physical Requirements:

This position requires regular handling and transportation of cryogenic IVF shipping containers. weighing up to approximately 50 kg (110 lb). Containers are moved using appropriate equipment and/or team-lifting assistance; the employee is not expected to lift such weights independently.

Pay: $24.00-$28.00 per hour

Expected hours: 40.0 per week
