Senior Medical Administrator – Full Time

About Us

We are a boutique primary care medical clinic located in North York, Toronto. Our practice focuses on thoughtful, relationship-based care delivered in a calm, professional, and highly organized environment.

We emphasize a personalized patient experience, discretion, and operational excellence. Our clinic is intentionally designed to provide a quieter, more attentive model of care than traditional medical practices.

We are seeking an experienced Medical Administrator to support and coordinate the daily administrative operations of the clinic and ensure a seamless experience for patients and clinical staff.

Position Overview

This is a full-time, in-office position responsible for managing the front-office administrative functions of the clinic.

This position is best suited to an experienced medical office professional who is comfortable taking ownership of front-office operations and maintaining a highly organized clinical environment. This role requires strong communication skills, sound judgment, and the ability to maintain a calm, welcoming environment while coordinating the administrative flow of the clinic.

The Medical Administrator plays an essential role in maintaining an efficient and professional clinic experience for both patients and staff.

Key Responsibilities-

Patient Experience

· Welcome patients in a warm, professional, and respectful manner

· Serve as the first point of contact for patients by phone and in person

· Maintain a calm, organized, and welcoming reception environment

Clinic Administration

· Manage provider schedules and coordinate patient appointments using the clinic’s electronic medical record system

· Coordinate comprehensive physical examinations and related testing appointments

· Register and onboard new patients in accordance with clinic policies

· Manage referrals and track incoming consultation reports

· Maintain accurate patient demographic information and OHIP version codes

Communication & Coordination

· Communicate with patients by phone, email, and secure messaging systems

· Coordinate administrative workflow between providers, nursing staff, and patients

· Process incoming correspondence including laboratory and specialist reports

· Scan and upload documentation into the electronic medical record

Clinic Operations

· Maintain exam room readiness and coordinate room turnover between patients

· Monitor and replenish medical and office supplies

· Support the overall organization and presentation of the clinic environment

Qualifications Required

· Minimum 5 years of continuous experience working in a medical clinic environment with direct responsibility for patient scheduling and front-office workflow

· Demonstrated stability and professionalism in previous employment

· Excellent communication and interpersonal skills

· Strong organizational skills and attention to detail

· Ability to work independently while coordinating with a healthcare team

· High level of discretion and professionalism when handling sensitive information

Preferred

· Experience using electronic medical record systems (EMR) such as Oscar Pro

· Experience coordinating provider schedules and patient care workflows
