Job Description: Airway/Orthodontic Treatment Coordinator

Position: Airway/Orthodontic Treatment Coordinator
Type: Full-Time
Reports To: Practice Manager / Orthodontist
Hiring: ASAP
Compensation: Pay based on experience

Position Overview

We are seeking a high-energy, empathetic, and results-driven Treatment Coordinator (TC) to join our airway-focused orthodontic practice.

You will be the face of our practice for new patients, guiding them from their initial consultation through treatment acceptance and the start of their treatment. This unique role requires a blend of clinical curiosity—as we specialize in airway, breathing, and growth modification treatment—and strong communication and sales skills to help families confidently commit to their health journeys.

Key Responsibilities

  • Lead Consultations: Conduct comprehensive new patient exams alongside the doctor and present customized treatment plans clearly and confidently.
  • Educate Patients: Translate complex airway concepts, including mouth breathing, sleep-disordered breathing, sleep apnea, expansion, and growth modification, into simple, understandable, and value-driven language.
  • Close Cases: Present financial options, address fee objections, answer patient concerns, and confidently guide families toward treatment decisions.
  • Manage Pipeline: Proactively follow up with pending patients, track case acceptance metrics, and maintain the observation and follow-up pipeline.
  • Coordinate Care: Serve as the primary point of contact for patients, coordinating appointments, treatment schedules, financial contracts, and next steps.
  • Build strong relationships with patients and families throughout their treatment journey.
  • Work closely with the orthodontist and clinical team to ensure a smooth transition from consultation to treatment.
  • Maintain accurate patient records and follow-up documentation.

Qualifications

Experience:

  • Minimum 2 years of experience in the dental or orthodontic field; RDA/DA background preferred.
  • Alternatively, a proven track record in consultative or high-ticket sales may be considered.

Knowledge:

  • Familiarity with orthodontic mechanics.
  • Knowledge of airway-centered orthodontics/dentistry is a major asset.
  • Experience discussing treatment plans and financial options is an advantage.

Skills:

  • Exceptional verbal and written communication skills.
  • Strong emotional intelligence and the ability to connect with patients and families.
  • Confident presentation and sales skills.
  • Ability to handle objections and difficult conversations professionally.
  • Highly organized, proactive, and able to manage multiple priorities.
  • Comfortable working in a fast-paced, patient-focused environment.
  • Proficiency with dental/orthodontic software such as OrthoTrac, Dolphin, or Dentrix is an asset.
