About the Role

The Intake Coordinator plays a key role in supporting the delivery of Independent Medical Evaluations and related services across Canada.

Intake Coordinators manage a high volume of active files while coordinating appointments, maintaining service level agreements, and delivering exceptional customer service to clients, assessors, and examinees.

The successful candidate will work in a fast-paced environment requiring strong attention to detail, excellent communication skills, sound judgment, and the ability to manage competing priorities while meeting established service standards.

Key Responsibilities

  • Book, confirm, cancel, and make all appointment arrangements for Independent Medical Examinations in accordance with Service Level Agreements (SLAs).
  • Communicate with assessors, clients, and examinees regarding appointment scheduling, appointment changes, and receipt of medical records and/or images.
  • Create and process confirmation letters for scheduled appointments.
  • Respond promptly to incoming calls, emails, and faxes from assessors, clients, and examinees.
  • Communicate clearly and professionally with clients, assessors, and examinees.
  • Review incoming referrals for completeness and accuracy.
  • Coordinate ancillary services such as interpreters, transportation, and chaperones.
  • Maintain accurate records within company operating systems.
  • Escalate scheduling or service issues as appropriate.
  • Ensure Service Level Agreements are consistently achieved.
  • Perform other duties and responsibilities as assigned.

Required Qualifications

  • High school diploma or post-secondary education.
  • Minimum two (2) years of experience in scheduling, customer service, healthcare administration, insurance, rehabilitation, or a related administrative environment.
  • Strong verbal and written communication skills.
  • Strong organizational and time management skills.
  • Proficiency with Microsoft Office applications.
  • Strong attention to detail and accuracy.

Preferred Qualifications

  • Experience within the Independent Medical Evaluation (IME) industry.
  • Experience with SABS, disability management, personal injury, or insurance claims.
  • Experience using ExpeFlow, SmartSimple, or similar IME workflow systems.
  • Experience working within Service Level Agreement (SLA)-driven environments.
