About Us

Salehi Law Professional Corporation is a boutique Personal Injury law firm located in Toronto near the intersection of Don Mills Road and Eglinton Avenue. We are seeking a proactive, empathetic, and detail-oriented Intake Coordinator to lead our client onboarding process and manage incoming inquiries.

In this role, you will be the main point of contact for potential new clients, managing the intake pipeline from initial inquiry through retainer execution and file handover.

Key Responsibilities Include:

  • Inquiry Management & Lead Tracking: Respond promptly to incoming calls, web leads, and referrals from potential personal injury clients. Track all leads within the intake management system.
  • Information Gathering & Consultations: Gather appropriate information from clients during detailed intake screenings for prospective Motor Vehicle Accident (MVA), Statutory Accident Benefits (SABS), slip and fall, medical malpractice and disability claims.
  • Insurance Form Submission: Assist and be knowledgeable with submitting different insurance (OCF) forms (especially OCF-2, OCF-3, OCF-5, OCF-6, and OCF-10 forms).
  • Retainer Execution & Digital Signing: Prepare, send, and follow up on retainer agreements, medical authorizations, and initial documents using DocuSign to ensure fast and seamless onboarding.
  • Scheduling: Assist with scheduling for lawyers and paralegals as required.
  • File Setup & Records Management: Maintain files and records with a high level of organization and skills. Open new physical and electronic files, and gather initial documentation including police reports and insurance policies.
  • Case Handover & General Support: Summarize intake findings and coordinate with managing lawyers and paralegals. Provide general assistance with Accident Benefits and Tort matters as assigned.

Qualifications & Pre-requisites

  • Experience: Minimum 1–2+ years of experience in personal injury legal intake, case coordination, or legal assisting within Ontario.
  • Legal & Form Knowledge: Knowledgeable and experienced with SABS, OCF form workflows (OCF-2, OCF-3, OCF-5, OCF-6, OCF-10), and basic tort claims.
  • Software Proficiency: Knowledgeable with utilizing DocuSign, Microsoft Office (Word, Outlook, Excel), and practice management software.
  • Communication & Empathy: Exceptional verbal and written communication skills with the ability to listen compassionately to clients dealing with serious injuries.
  • Organization & Detail: Maintain files and records with a high level of organization, conversion instincts, and strict confidentiality.
  • Languages: Additional languages are considered a strong asset.

Work Location: In-person only at our Toronto office (Don Mills Rd & Eglinton Ave). This is NOT a remote working position.

Job Type: Full-time

Pay: $24.00-$27.00 per hour
