Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring everything runs smoothly and efficiently. Your energetic approach and attention to detail will support our team’s productivity, enhance customer interactions, and maintain a professional environment. Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with excellent phone etiquette.
  • Handle multi-line phone systems, answer inquiries, and provide exceptional customer support.
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.
  • Support medical or dental office functions by managing appointment scheduling, patient records, and billing processes.
  • Assist with clerical duties such as proofreading correspondence, preparing reports, and managing office supplies inventory.
  • Provide administrative support for various departments, including coordinating meetings, managing calendars, and supporting special projects.

Skills

  • Proven experience with office administration, including clerical tasks and customer service.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Drive), and QuickBooks.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Experience with data entry, filing systems, and document proofreading to ensure accuracy.
  • Knowledge of front desk procedures and multi-line phone systems to handle inquiries professionally.
  • Background in medical or dental office settings is a plus, including familiarity with patient records management and billing processes.
  • Demonstrated ability to provide outstanding customer support while maintaining professionalism and courtesy at all times.
