The Opportunity

Beam Radiology is seeking a highly organized and detail-oriented WCB & Physician Operations Coordinator to join our growing team.

The WCB & Physicians Coordinator provides centralized coordination for Workers’ Compensation Board (WCB) services and physician operational workflows. The role supports timely access to care, accurate approvals and billing readiness, contractual service requirements, physician workflow coordination, and clear communication among patients, WCB representatives, physicians, booking, reception, clinical systems, billing, and diagnostic imaging operations.

Key Responsibilities

1. WCB Referral, Approval & Booking Coordination

• Review and manage WCB referrals requiring pre-approval, including follow-up with WCB case managers and other authorized contacts.
• Coordinate WCB appointments from referral intake through vetting, approval, booking, and required follow-up.
• Maintain the information required to support WCB processing, including claim number, date of injury, approved body part(s), and case manager contact information.
• Monitor WCB work queues and vetted lists, and follow up on referrals that require action, rebooking, or escalation.
• Document patient-requested delays, unsuccessful contact attempts, and other exceptions that may affect contractual timelines or payment.
• Act as the primary operational resource for WCB-related booking and workflow questions.

2. WCB Contract & Service-Level Administration

• Coordinate workflows supporting Beam’s WCB diagnostic imaging and pain management/injection arrangements.
• Monitor time-sensitive WCB cases and work with booking, modality teams, and physicians to support contracted turnaround requirements.
• Confirm that WCB studies are appropriately identified, prioritized, documented, and directed to the correct bill payer.
• Track approvals and communicate authorization status to booking, reception, and clinical teams.
• Coordinate required post-procedure documentation and follow-up for WCB injection services.
• Escalate capacity, approval, documentation, or service-level risks to the appropriate operational leader.

3. WCB Billing & Documentation Support

• Validate WCB claim and approval information to support accurate billing
• Assist with invoicing, payment tracking, and reconciliation activities
• Collaborate with Billing and Finance teams to resolve claim issues and discrepancies
• Maintain organized, accurate, and audit-ready records

4. Physician Workflow Coordination

• Coordinate physician workflow activities, including report assignment, coverage support, and specialty routing
• Monitor physician workload and identify potential turnaround or capacity concerns
• Support operational changes related to vacations, onboarding, and temporary physician coverage
• Collaborate with physician scheduling, clinical systems, and diagnostic imaging leadership
• Maintain physician reference information and operational resources
• Assist with physician billing and workflow-related administrative inquiries

5. Communication, Escalation & Process Improvement

• Act as a liaison between WCB representatives, physicians, patients, and internal teams
• Provide guidance on WCB processes and workflow requirements
• Identify opportunities to improve efficiency, documentation, and operational processes
• Develop and maintain workflow resources, job aids, and tracking tools
• Participate in operational meetings and follow through on action items
• Ensure compliance with privacy, quality, safety, and documentation standards

Decision Making & Escalation

• Apply established WCB contract criteria and internal workflows to routine approvals, bookings, and documentation requirements.
• Prioritize time-sensitive WCB cases and coordinate operational follow-up across teams.
• Escalate unclear eligibility, contractual interpretation, financial exposure, clinical questions, unresolved capacity constraints, or exceptions outside established processes.
• Do not independently make clinical decisions, modify physician scope, or approve exceptions with material contractual or financial impact.

Qualifications & Requirements

Preferred Qualifications

• Post-secondary education in health administration, business administration, medical office administration, or a related field is preferred.
• Experience in diagnostic imaging, healthcare administration, WCB coordination, physician administration, booking, billing, or clinical systems is preferred.
• Working knowledge of patient scheduling, referral management, medical documentation, privacy requirements, and healthcare billing workflows.
• Proficiency with Microsoft 365 and electronic scheduling, RIS/EMR, or comparable healthcare information systems.
• Equivalent combinations of education and relevant experience may be considered.

Work Schedule & Environment

• Position Type: Full-time
• Schedule: Monday to Friday, 8-hour shifts, with flexibility to work occasional evenings and Saturdays based on clinic needs
• Location: In-person at Beam Radiology clinics across Calgary

Key Working Relationships

Internal: Clinical Systems Manager; Director and Manager of Diagnostic Imaging; physician scheduler; radiologists and physician leaders; booking and reception; modality managers and supervisors; Billing, Finance, IT, and QMS.

External: WCB representatives and case managers; patients; referring providers and clinics; approved external partners.

Success Measures

• WCB referrals and approvals are actioned accurately and within required timelines.
• Contracted cases are booked, completed, reported, and returned within applicable service expectations.
• WCB billing is supported by complete and accurate claim, approval, and documentation information.
• Physician workflow issues are identified early, communicated clearly, and resolved or escalated promptly.
• Internal teams have current, practical guidance and know when to involve the coordinator.
• Role knowledge, workflows, and trackers are sufficiently documented to support continuity and backup coverage.

Role Boundaries

This position coordinates and administers operational workflows. Clinical decisions remain with authorized clinical professionals. Contractual, financial, human resources, or policy exceptions must be escalated to the appropriate leader.
