Employment Opportunity: Orthopedic Medical Office Assistant - Supporting Dr. Ryan Martin MD FRCS(C)

Group23 is looking for a Orthopedic Medical Office Assistant to support Dr. Ryan Martin, MD FRCS(C) and the surgical team by coordinating patient care, managing health information, and ensuring a seamless experience from referral through to post-surgical follow-up, and beyond.

In this role, you’ll work closely with Dr. Martin, patients, and multidisciplinary healthcare teams across multiple systems to support high-quality surgical care and efficient clinic operations.

Position Summary

Working closely with Dr. Ryan Martin, MD FRCS(C) and the Surgical Department Lead, the Orthopedic Medical Office Assistant plays a key role in coordinating patient care, managing health information, and supporting clinical and surgical operations.

This role ensures accurate, timely, and confidential handling of health information while facilitating referrals, diagnostics, and bookings to support high-quality patient experiences and operational efficiency.

Duties and Responsibilities:

Patient Journey & Care Coordination

  • Support the patient journey from referral through to post-surgical follow-up and beyond, facilitating a safe and effective return to daily activities.

  • Act as the primary administrative liaison between patients, Dr. Martin’s practice, clinic staff, and external healthcare providers

  • Communicate clearly and empathetically with patients regarding appointments, diagnostics, and surgical timelines

  • Support intake, imaging requisitions, and patient preparation within clinic workflows

Surgical Scheduling & Coordination

  • Coordinate clinic appointments, surgical bookings, and follow-ups for Dr. Martin’s patient roster

  • Manage referrals and surgical waitlists in alignment with aCATS processes

  • Liaise with Alberta Health Services (AHS) and private surgical facilities

  • Adjust schedules based on provider, clinic, or operating room availability

Clinical Information Management

  • Manage patient health records including data entry, scanning, filing, and secure sharing

  • Process incoming documentation (faxes, reports, correspondence) and ensure accurate EMR integration

  • Maintain up-to-date patient records including referrals, requisitions, and clinical communication

  • Complete EMR tasks and workflows in a timely and accurate manner

System Flow & Issue Resolution

  • Identify and communicate workflow, documentation, or scheduling gaps that may impact patient care

  • Proactively address delays affecting surgical timelines and patient experience

  • Escalate complex or high-impact issues to the Surgical Department Lead as required

Operational & Administrative Support

  • Respond to patient inquiries via phone and email in a professional and timely manner

  • Support billing processes including Alberta Health submissions and third-party payors

  • Maintain clinic organization, supplies, and administrative systems

  • Contribute to process improvement through documentation and workflow updates


Knowledge, Skills, and Abilities (KSAs)

Knowledge

  • Healthcare privacy legislation and confidentiality requirements

  • OHS and Infection Prevention & Control (IPAC) standards

  • Surgical referral pathways and patient care coordination processes

  • Electronic medical record systems (Telus CHR, Accuro, Connect Care, Netcare, or similar)


Skills

  • Strong communication and interpersonal skills

  • High attention to detail in documentation, scheduling, and data entry

  • Strong organization and time management in a fast-paced clinical environment

  • Proficiency in Microsoft Office (Outlook, Teams, Word, Excel)

  • Ability to manage multiple priorities with accuracy and professionalism

Qualifications

  • Certificate or Diploma in Medical Office Assistant, Medical Administration, Health Information Management, or related field

  • 3–5 years of experience in a medical office environment (surgical experience preferred)

  • Experience supporting high-volume patient workflows

  • Experience with EMR systems (Telus CHR, Accuro, Connect Care, or similar)

  • Medical terminology training required

  • Police Information Check required upon hire
