Job Summary
The Sunnybrook Department of Medicine Association is seeking a dedicated Medical Administrative Assistant to provide comprehensive administrative support within the Division of Nephrology. This role involves managing outpatient clinic responsibilities while supporting academic activities such as teaching and research.

The Nephrology Division has nine doctors and five medical administrative staff. We operate in partnership with the Sunnybrook Health Sciences Centre Regional Renal Program.

Responsibilities:

(Responsibilities include; but are not limited to:

· Answering the phone and returning voicemails

· Responding to patient and physician emails

· Managing and maintaining physician schedule

· Coordinating appointments with other departments and clinics

· Collaborating and coordinating activities with external sites involved in the physicians’ practice

· Transcription of letters and medical notes on an EMR system

· Electronic filing and chart organization

· Managing all patient bookings; inquiries and scheduling appropriate tests; and running in-person clinics

· Coordination of OHIP billings

· Coordinating room bookings

· Providing coverage for outpatient clinics when required

· Providing educational support for medical students/residents/fellows in the Nephrology Division including coordinating clinical rotations and educational schedules; facilitating onboarding and orientation; maintaining trainee records and documentation; organizing teaching sessions, evaluations, examinations, and academic activities; communicating with learners, faculty members, program directors, and university or hospital partners; tracking deadlines and program requirements; and supporting compliance with applicable institutional and postgraduate medical education policies and procedures.

· Scheduling zoom meetings and organizing lectures or rounds and sending calendar invites

ROLE REQUIREMENTS:

· Experience in the Accuro EMR system is an asset

· Ability to work in a team environment with other administrative assistants and interdisciplinary team members.

· College Diploma in a related discipline, or recognized equivalent, or a combination of education and experience is required.

· Demonstrated advanced working knowledge of Microsoft Word, Excel and Outlook.

· Experience as a medical administrative assistant is an asset. Hospital experience is preferred

· Proven knowledge of medical terminology

· Demonstrated ability to take initiative and act independently using sound judgment as well as accepting directions

· Demonstrated excellent written and oral communication skills and good team player skills

· Responsible time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency

· Ability to work independently and balance multiple work demands, including time sensitive requests

· Excellent interpersonal skills and ability to relate to and work well with a diverse group of individuals

· Tact and discretion in dealing with sensitive and confidential issues

· Ability to maintain strict confidentiality
