Medical Office Administrator (12-Month Contract)

Job Type: Full-time, 12-Month Contract (with potential for extension)
Wage: $20.00 per hour
Schedule: Monday to Friday (9:00 AM – 5:00 PM closing shift) + occasional Saturdays
Start Date: December 1, 2026

About Us : The Toronto Head and Neck Clinic is a premier Ear, Nose, and Throat (ENT) medical facility. We are dedicated to providing specialized, compassionate, and high-quality care to our patients. Our clinic operates under the Ontario Health Insurance Plan (OHIP). We are seeking an organized, punctual, fluent English-speaking Medical Office Administrator to manage our afternoon operations, handle clinical administrative tasks, and close the clinic daily.

Key Responsibilities

  • Patient Reception: Welcome patients warmly, manage the check-in process, and verify valid OHIP health cards upon arrival.
  • Appointment Scheduling: Coordinate complex physician schedules, book specialist consultations, and schedule follow-up appointments.
  • Phone & Email Triaging: Answer incoming clinic inquiries, direct urgent calls appropriately, and respond to the general clinic email inbox.
  • Referral Management: Process incoming patient referrals from family physicians and manage outgoing medical faxes.
  • Administrative Support: Maintain digital patient charts and keep the reception area organized. (Note: This role does not involve medical billing).
  • Closing Operations: Manage afternoon clinic flow during operational hours (8:00 AM – 4:00 PM) and handle end-of-day office closing procedures until 5:00 PM.

Job Requirements

  • Language Proficiency: Must be fully fluent in English with exceptional verbal and written communication skills.
  • Availability: Must be able to work the 9:00 AM to 5:00 PM shift Monday to Friday, and be available to work occasional Saturdays as required by the clinic schedule.
  • Commitment: Ability to fulfill the initial 12-month contract starting December 1, 2026.
  • Experience: Minimum 1–2 years of experience in a Canadian medical clinic front desk or administrative role.
  • Technical Skills: Proficiency with Electronic Medical Records (EMR) software and standard office programs.
  • Privacy Compliance: Strict adherence to Ontario personal health privacy regulations (PHIPA).
  • Education: High school diploma required; completion of a Medical Office Administration program is preferred.

Pay: $20.00 per hour
