Overview
We seek a dedicated and competent full-time Medical Office Assistant/Receptionist to join our growing healthcare team. West St. Paul Medical Clinic is a new health facility that provides quality, comprehensive and personalised healthcare for our clients and patients. This role is essential in ensuring the smooth operation of our medical office and providing excellent patient care and administrative support. The ideal candidate will have a strong understanding of medical terminology, experience in a clinical setting and the ability to use office software and phone systems.

Responsibilities

  • Greet patients and visitors warmly, ensuring a positive first impression.
  • Manage front desk operations, including answering phone calls, scheduling appointments, and handling patient inquiries.
  • Checking in patients
  • Keeping the clinic space clean and tidy
  • Stocking the consulting rooms
  • Assist/Chaperon physicians with patient exams & procedures and complete patient-related tasks at the request of the physicians
  • Managing your doctors' schedule
  • Taking Vision Acuity, Height and Weight, Urinalysis
  • Home Clinic Enrollment/Management
  • Participate in other miscellaneous administrative duties as assigned
  • Assist with the completion of insurance forms and other necessary documentation.
  • Coordinate communication between patients and healthcare providers to ensure seamless care delivery.
  • Perform administrative tasks, including filing, data entry, and maintaining office supplies.
  • Updating and maintaining patients electronic medical records (EMR) with all test results, clinical notes, demographics, including validating health cards, etc.
  • Ensure compliance with health regulations and maintain patient confidentiality at all times.

Requirements

  • Previous experience as a Medical Office Assistant.
  • Medical Office Assistant certificate.
  • PHIA (Personal Health Information Act) certification.
  • CPR Certification is an asset.
  • Knowledge of LibreMD EMR (training available if needed).
  • 2-year minimum experience in the healthcare-related field;
  • Close attention to detail and accuracy.
  • Ability to multi-task
  • Excellent interpersonal and communication skills
  • Excellent organisational skills
  • Fluency in English;
  • Proficiency with medical terminology;
  • Proficiency in computer applications including Windows OS, Microsoft Office, Outlook E-mail and Internet.
  • Fast and accurate typing skills.
  • Proficiency in medical terminology and familiarity with administrative tasks in a healthcare setting.
