Full job description

We’re looking for a dynamic, proactive and personable Patient Care Manager to join our medical aesthetics team. This role is ideal for someone who genuinely enjoys connecting with people, works collaboratively and brings curiosity and excitement to the aesthetic industry.

As one of the first people our patients connect with, you’ll help create a welcoming experience from the initial inquiry through ongoing care. We’re looking for someone invested in helping patients achieve the best possible outcomes. Someone who listens carefully, understands each person’s goals and thoughtfully guides them toward the appropriate treatments and providers.

You’ll develop a strong understanding of our procedures, products and services so you can confidently explain their features and benefits, answer questions within your role and recognize when to involve a treatment provider. Your approach should help patients feel informed, supported and comfortable making decisions about their care.

What you’ll do

  • Build relationships with patients through warm, attentive communication in person, over the phone and in writing.
  • Listen closely to patients’ interests, questions and concerns, connecting them with the appropriate services and providers.
  • Promote our treatments, products and services through personalized, informative conversations.
  • Respond to inquiries and proactively follow up with patients to support their next steps.
  • Book, schedule and confirm appointments with attention to accuracy, provider availability and treatment requirements.
  • Work closely with treatment providers and colleagues to coordinate a smooth patient experience.
  • Accurately collect and document patient information and communications in our electronic medical record and clinic software.
  • Develop and maintain knowledge of our treatments, products, fees and financial policies.
  • Handle concerns with professionalism and empathy, involving the appropriate team member when needed.
  • Notice what needs attention, take initiative and follow through on tasks.
  • Contribute ideas and support your teammates in a busy, collaborative clinic.

What you’ll bring

  • A genuine interest in people and enthusiasm for medical aesthetics and patient care.
  • A dynamic, welcoming presence and excellent phone etiquette.
  • Strong listening skills and the ability to communicate clearly with people from a variety of backgrounds.
  • Excellent written and verbal communication, including professional grammar.
  • Attention to detail, strong organizational skills and reliable follow-through.
  • A proactive approach: you anticipate needs, ask thoughtful questions and take initiative.
  • A collaborative mindset, openness to feedback and the ability to follow established processes and direction.
  • Flexibility, adaptability and practical problem-solving skills.
  • Sound judgment, social awareness and the ability to navigate sensitive conversations with discretion.
  • Confidence learning new computer programs and clinic systems.

Experience

Medical aesthetics experience is preferred, along with at least one year of successful experience in a patient coordination, reception or sales focused customer service role, ideally within a medical, aesthetic or spa setting.

We value a willingness to learn, a strong sense of responsibility and genuine enthusiasm for helping patients and supporting the team.
