Administrative & Surgical Coordinator
Location: Toronto, ON

Join One of Toronto’s Premier Plastic Surgery Clinics

Studio Plastic Surgery is a leading name in aesthetic medicine, known for our natural, refined results and gold-standard patient care. We’re growing — and looking for a highly organized, polished, and client-focused Administrative & Surgical Coordinator to be a cornerstone of our team.

This is more than a front desk role. As the first face and voice our patients encounter, you’ll play a pivotal part in their surgical journey — guiding them from initial inquiry through consultation, scheduling, and post-op care. You’ll be the calm, confident liaison who ensures every patient feels cared for, understood, and supported.

Your Role at a Glance

Client Experience & Front Office Support

  • Act as the first point of contact for patients — in person, over the phone, and via email
  • Handle all inquiries with professionalism, warmth, and discretion
  • Manage consultation scheduling and provider calendars efficiently
  • Track and nurture patient leads to drive bookings
  • Maintain accurate patient records in our EMR/CRM systems
  • Collaborate closely with clinical and aesthetics teams to ensure seamless care

Surgical Coordination

  • Oversee the full surgical scheduling process from initial consultation to OR day
  • Coordinate pre-op appointments, lab work, consents, and clearances
  • Ensure patients are fully informed with detailed pre- and post-op instructions
  • Communicate regularly with patients throughout their surgical preparation and recovery
  • Liaise with hospitals, anesthesiologists, and surgical centers to manage logistics
  • Monitor and optimize surgical calendars and waitlists

About You

  • 3+ years of experience in surgical coordination, patient services, or clinic administration (experience in plastic surgery or medical aesthetics is a strong asset)
  • A minimum of 2 years of proven sales experience required.
  • Exceptional communication and interpersonal skills
  • Tech-savvy: comfortable with EMRs, scheduling tools, Microsoft Office, and CRM systems
  • Detail-oriented with strong organizational and time-management skills
  • Professional, emotionally intelligent, and calm under pressure
  • Approachable, polished, and genuinely patient-centered
