Full job description

Health Care on Yates is a collaborative primary care clinic dedicated to providing compassionate, patient-centered care to individuals and families of all ages. Our team includes Nurse Practitioners, Pediatricians, Registered Nurses, and allied health professionals who work together in a supportive, team-oriented environment.

We are seeking an experienced Lead Medical Office Assistant (Lead MOA) to join our clinic team.

This is a working Lead MOA position. The Lead MOA performs the same day-to-day clinical and administrative duties as our regular MOAs, while taking on additional responsibilities to support the MOA team, clinic workflow, training, and inventory management.

The ideal candidate is an experienced MOA who is organized, approachable, dependable, comfortable taking initiative, and enjoys helping their coworkers and keeping things running smoothly.

What You'll Do

Medical Office Assistant Duties

  • Provide a warm, welcoming experience for patients and families
  • Room patients and assist with patient flow throughout the clinic
  • Obtain and record patient vitals, including height, weight, head circumference, blood pressure, and vision testing as appropriate
  • Conduct urinalysis and pregnancy testing
  • Handle and transport patient samples following clinic protocols
  • Prepare exam rooms and procedure trays and assist providers with procedures within MOA scope
  • Clean and restock exam rooms and clinical spaces
  • Schedule, confirm, reschedule, and manage patient appointments and waitlists
  • Complete patient check-ins and check-outs
  • Maintain accurate patient records and demographics in MedAccess EMR
  • Scan, upload, and link documents into patient charts
  • Process incoming and outgoing faxes, mail, and electronic communications
  • Manage patient forms and documentation
  • Send patient communications through Ocean and other clinic platforms
  • Answer phones, respond to patient inquiries, and action voicemails/messages in a timely manner
  • Assist with billing, insurance, and third-party forms/requests as needed
  • Support providers and team members with day-to-day clinic operations

Lead & Team Support

  • Provide guidance and support to MOAs with challenging patient interactions, tasks, or bookings, escalating to the Office Manager as appropriate
  • Prepare daily MOA station rotations, ensuring duties, breaks, and sample runs are distributed fairly and effectively
  • Help ensure MOAs remain focused on their assigned duties while stepping in to assist when needed
  • Oversee onboarding and training of new MOAs in collaboration with the Office Manager
  • Assist with ongoing training and ensure workflow changes are implemented consistently
  • Lead by example in professionalism, communication, patient service, confidentiality, and teamwork
  • Help maintain a positive and respectful workplace by addressing gossip, negativity, or inappropriate behaviour as appropriate
  • Coordinate medical supply inventory, ordering, and stock maintenance
  • Coordinate vaccine inventory, ordering, and stock
  • Assist with identifying and resolving day-to-day clinic workflow issues
  • Assist with maintaining MOA resources, procedures, checklists, and training materials
  • Assist the Office Manager with administrative and operational projects as needed

What We're Looking For

  • Previous Medical Office Assistant experience is required
  • Experience with MedAccess EMR is strongly preferred
  • Experience in primary care, family practice, pediatric care, or a multidisciplinary clinic is an asset
  • Previous experience training or mentoring staff is an asset
  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize effectively in a busy clinic
  • Professional, reliable, adaptable, and able to work independently
  • Comfortable providing guidance and support to coworkers
  • Strong problem-solving skills and good judgment about when to escalate an issue
  • Ability to maintain patient confidentiality and professional boundaries
  • Familiarity with Ocean, Microsoft Teams, and other digital clinic systems is an asset
  • MOA certification is an asset

Position Details

  • Job Type: Full-time, Permanent
  • Hours: 37.5–40 hours per week
  • Schedule: Monday–Friday
  • Shifts are primarily 8:00am–4:30pm
  • One scheduled closing shift per week (11:30am–8:00pm) is required
  • Additional closing shift coverage may occasionally be required to support vacation coverage, sick time, or clinic operational needs
  • Wage: Starting at $28.00/hour, commensurate with experience and qualifications
  • Work Location: In person

About the Role

The Lead MOA works closely with the Office Manager and clinical leadership to support the smooth day-to-day operation of the clinic. While the Lead MOA provides guidance and support to other MOAs, this is not a formal management position. Staff performance concerns or other issues requiring management involvement are escalated to the Office Manager.
