About Terra

Terra Aesthetics + Wellness is a Nurse Practitioner–led clinic specializing in menopause and hormonal care, medical weight management, and aesthetic medicine. Our founder is one of very few Menopause Society Certified Practitioners (MSCP) in Newfoundland and Labrador, and we’re built on a simple belief: midlife women deserve proactive, evidence-based, judgment-free care—not the sick-care model they’ve too often been handed.

The experience we create matters as much as the medicine we practice. That’s where you come in.

The Role

You’ll be the warm, steady first point of contact for our patients and the operational backbone of our day-to-day. This is a role for someone who takes genuine ownership—who sees what needs doing and does it, rather than waiting to be told.

What you’ll own:

• The first-contact experience — welcoming patients by email, phone, and in person, and making every interaction feel personal.
• The patient inbox and inquiries — triaging, responding in our clinic’s voice, and keeping things organized and moving
• Scheduling and follow-up — coordinating bookings, reminders, and follow-ups across our programs so nothing falls through the cracks
• Clinical admin tasks — patient records, intake forms, lab and referral tracking, and faxes, handled accurately and discreetly
• Day-to-day operations — payment processing, plus helping us build and refine the systems and SOPs that let us grow

What We’re Looking For

• Genuine warmth. Patients should feel cared for, never processed. You’re comfortable holding space for sensitive conversations around menopause, weight, and hormonal health with zero judgment.
• Initiative and ownership. You spot what needs doing and handle it. You’re trustworthy with autonomy and take pride in getting the details right.
• Strong medical admin skills. Organized, accurate, and calm in a busy clinic.
• A fast learner with systems. Experience with Jane App or TELUS Med Access is an asset, but we’ll train the right person. You’re comfortable picking up new tools quickly and confident in Gmail Workspace and everyday digital platforms.
• Belief in the mission. You care about proactive, patient-first women’s health and want to be part of building something that matters.
