Eyes 360 | High River, Alberta
Part-Time | Approximately 30 Hours per Week | $20-$22/hour
Eyes 360 is looking for an organized, proactive, and tech-savvy Administrative Assistant to support our team and help keep our clinic operations running smoothly.
This is a great opportunity for someone who enjoys variety, takes pride in staying organized, communicates confidently, and can juggle multiple priorities. We’re looking for someone who doesn’t just complete a task list, but notices what needs to be done, follows through, and looks for ways to improve processes.
About the Role
The Administrative Assistant plays an important role in supporting our patients, team members, and leadership team. You’ll help manage communications, scheduling, administrative tasks, patient information, documentation, and day-to-day operational needs.
For the first month, this position will be based in our High River clinic to allow for onboarding, training, and hands-on support. After the initial training period, the position will move to a hybrid schedule combining in-clinic and remote work.
What You’ll Do
Your responsibilities will include:
- Manage and prioritize administrative tasks based on deadlines and clinic needs
- Answer incoming phone calls promptly and professionally
- Monitor and respond to emails, voicemails, and faxes in a timely manner
- Help maintain full and efficient clinic schedules, including recalls and patient follow-ups
- Schedule and confirm patient appointments
- Collect and verify patient information before appointments
- Maintain accurate, complete, and confidential patient records
- Scan, fax, file, and organize clinic documentation
- Assist with incoming mail and information management
- Complete third-party insurance pre-authorizations
- Assist with Alberta Health Care billing and patient recall processes
- Conduct post-appointment patient surveys
- Provide administrative coverage during staff absences and busy periods
- Maintain proactive communication with leadership and other team members
- Assist with updates to clinic communications, including holiday and closure messaging
Technology & Continuous Improvement
We’re interested in finding someone who is comfortable with technology and interested in how new tools can make work easier and more efficient.
You’ll also have opportunities to:
- Explore new administrative technologies, systems, automation, and AI tools
- Identify opportunities to improve workflow, communication, and patient service
- Help test and implement approved tools or systems
- Support the team as new processes and technologies are introduced
- Stay current on relevant industry trends and best practices
What We’re Looking For
The ideal candidate is someone who is:

- Able to manage several priorities at the same time
- An excellent written and verbal communicator
- Comfortable communicating with both patients and team members
- Discreet and trustworthy when handling confidential information
- Goal and results-oriented
- Comfortable learning new technology and adapting to new systems and processes
Qualifications
- Minimum 3 years of customer service experience
- Strong computer and technology skills
- Experience with Google Workspace
- Familiarity with task or project management software such as Asana or Trello is an asset
- Experience working with cloud-based documentation and systems
- Previous healthcare, medical office, optometry, or administrative experience is an asset but not required
Compensation & Benefits
- $20-$22 per hour
- Approximately 25 hours per week
- 4% vacation pay, paid on each payroll
