Position Summary: This position provides support for VSCNL staff by serving as the first point of contact, scheduling appointments, processes medical records data for easy retrieval, entering patient charges, and collecting payment from clients.

Preferred Qualifications: The ideal candidate will possess the following highly desired qualifications:

  • Ability to productively multi-task in a fast-paced, ever-changing environment.
  • Experience assessing and recognizing emergency situations, difficult/unpleasant situations, and/or individuals and know the appropriate action to take.
  • Experience with administration, billing, client services, and medical records in a veterinary medicine environment.
  • Math and analytical skills to review and correct data.
  • Experience using various programs and software for word processing, spreadsheets, scheduling, entry and retrieval of medical records, and database management programs.
  • Compassionate and enthusiastic attitude.
  • Ability to work with or around areas with sick animals, hazardous materials, and/or infectious diseases, and distraught clients.
  • Work variable hours and occasional overtime to meet operational needs; 12-hour shifts are mandatory.
  • Work in other related areas on an as needed basis.

Job Duties

Duty/Responsibility

  • Must demonstrate caring behaviour with all patients and clients; greet clients and pets by name.
  • Answer phones promptly and professionally using a multi-line phone system.
  • Take and deliver messages promptly to appropriate staff, pulling medical records of patients so staff can properly document information.
  • Note in medical records the details discussed during client conversations including the date, time, key points of the discussion, and any action required.
  • Check medical and computer records for accurate client addresses, phone numbers, and emails.
  • Weigh pets each visit and record weights in medical record.
  • Answer client and primary care veterinarian questions as instructed by VSCNL.
  • Fill prescriptions and provide routine administration instructions to clients.
  • Prepare consent forms and estimates, and discuss the hospitals financial policies with clients.
  • Maintain a clean, neat reception area.
  • Explain invoices to show value for the care provided, stating all services and products before the total.
  • Collect payment when services are rendered, including making change for cash payments and processing credit/debit cards.
  • Know fees for routine services.
  • Clean up after pets accidents in the reception area, exam rooms, and exterior sidewalks.
  • Collect specimens that clients bring in for lab analysis, label and take to lab area.
  • Recognize emergency situations, enlisting the aid of medical staff when required.
  • Understand infectious diseases and how to control and prevent their spread.
  • Attend and assist in shift change case rounds.
  • Attend mandatory staff meetings.
