Job Summary

We are seeking a dynamic and detail-oriented Medical Office Assistant to join our healthcare team! In this vital role, you will be the friendly face and organized backbone of our Naturopathic Medical practice, ensuring smooth daily operations. Your energetic approach will help create a welcoming environment for patients while efficiently managing administrative tasks. If you thrive in fast-paced settings, possess excellent communication skills, and have a passion for healthcare, this opportunity is perfect for you! Your expertise in medical terminology, electronic medical records, and office management will directly contribute to delivering exceptional patient care and operational excellence.

Duties

  • Greet patients warmly and assist with check-in/check-out procedures at the front desk
  • Schedule appointments using Janeapp electronic scheduling and billing system
  • Manage multi-line phone systems to answer inquiries, confirm appointments, and relay messages promptly
  • Maintain accurate patient records within electronic medical records (EMR) systems, ensuring confidentiality and compliance
  • Process billing or payments as needed
  • Prepare exam rooms, assist with patient documentation, and update medical histories efficiently
  • Support clinical staff by handling administrative tasks such as faxing, scanning, and filing documents
  • Ensure the reception area remains organized, clean, and welcoming at all times

Skills

  • Proficiency with electronic health record (EHR) systems is essential especially Janeapp
  • Strong knowledge of medical terminology to accurately document and communicate health information
  • Previous medical office experience demonstrating familiarity with front desk operations and administrative procedures
  • Ability to manage multi-line phone systems confidently and professionally
  • Excellent organizational skills to handle multiple tasks efficiently in a busy setting
  • Effective communication skills for interacting with patients, providers, and team members
