Medical Administrator (Front Desk Receptionist)
NOC: 13112 – Medical administrative assistants
Department: Operation – Ophthalmology Clinic
Job Summary:
Reporting to the Clinic Supervisor, the Medical Administrator (Front Desk Receptionist) is responsible for greeting and registering patients for their appointment and validating health records.
The Medical Administrator (Front Desk Receptionist) utilizes knowledge of medical terminology and exercises judgment or decision-making to provide secretarial and clerical services, in support of professional/medical personnel. Medical Administrator (Front Desk Receptionist) coordinates daily activities of clinic and ensures smooth functioning of the physicians practice, while providing professional and caring service to the patients.
KPI’s:

Zero error booking testing/follow-up appointments, billing and payment collection
-
Precise conducting ER/urgent triage
-
Daily update statistics for COPE purpose
-
Compliance with company protocols and health care and related regulations
Duties and Responsibilities:
-
Greeting and registering patients for appointments using Oscar EMR system
-
Verifying and updating patient’ information
-
Confirming all required diagnostics and requested appointments are met for each patient visit.
-
Verifying health cards.
-
Answering phone calls, voicemails and booking appointments.
-
Billing IFH and non-Ohip patients for a “fee for service charge”.
-
Creating demographics for new patients using Oscar EMR system.
-
Consent checking & uploading for all procedures and obtaining signature in the case a new consent is required.
-
Taking payments for services and retail products in accordance with cash handling protocol
-
Accurately and efficiently handling urgent referrals, emergency patients and viral patients
-
Accurately and efficiently completing office paperwork, not limited to medical release requests, CT & MRI requests, con reports, faxing prescriptions and clinical notes to optometrist and general practitioner offices.

Complying with the assigned doctors booking requirements for each patient
-
Ensuring two weeks and two days before each clinic day’s flow to ensure no booking errors.

Preparing and replenishing reception area and maintaining cleanliness.
-
Maintaining professional relations with other medical offices and hospitals
-
Maintain inventory and inform team lead/ site lead when items are low.
-
Consent checking before performing a procedure that requires a consent/payment.
-
Handle patient and other department’ inquiries and questions via emails, phone calls and Oscar
-
Manage and resolve patient complaints.
-
Direct calls to other departments as needed.
-
Ensure that all patient interactions are dealt with confidentially and any confidential paperwork is dealt with in accordance with practice protocol.

Qualifications:

Minimum of 1-2 years of direct experience and a solid working knowledge of the specific work that is being carried out.

Completion of a one- or two-year college program in Medical/Health Care Administration or Ophthalmic Assistant or other related field
-
Medical terminology an asset
-
Exceptional interpersonal, customer service, problem-solving, verbal, and written communication, and conflict resolution skills.

Decisiveness and attention to detail.

Proficiency with necessary technology, including computers, software applications, phone systems, etc

Excellent organizational and time-management skills

Demonstrated experience analyzing and resolving customer service and client issues.
