Job Summary

We are seeking a dynamic and highly organized Medical Office Administrator to join our healthcare team. In this vital role, you will oversee the daily operations of the family wellness centre ensuring smooth and efficient administrative processes. Your energetic approach will help create a welcoming environment for patients and staff alike, while your attention to detail guarantees accuracy in all administrative tasks. This position offers an exciting opportunity to contribute to high-quality patient care through effective management and coordination of office functions.

Responsibilities

  • Manage patient scheduling, appointment confirmations, and follow-up communications to optimize clinic flow.
  • Maintain and update electronic medical records (EMRs) with precision, ensuring compliance with privacy regulations and data accuracy.
  • Oversee billing, coding, and insurance claims processing
  • Supervise administrative staff
  • Coordinate with medical professionals and external vendors to support operational needs.
  • Assist with budgeting, supply inventory management, and ensuring the clinic adheres to financial protocols.
  • Implement best practices in medical terminology application and documentation standards across all office procedures.
  • Perform basic Accounting/Bookkeeping tasks
  • Oversee daily billing, payments, deposits, and reconciliation
  • Monitor accounts receivable and outstanding balances.
  • Ensure the clinic is clean, organized, and fully stocked with supplies
  • Foster a positive, collaborative, and patient-focused workplace culture
  • Requirements
  • Proven experience in a medical or wellness office setting
  • Prior supervisory experience managing administrative teams within healthcare environments.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Background in human resources functions such as staff scheduling, onboarding, and compliance management.
  • Experience with budgeting, financial record-keeping, and supply chain coordination in healthcare facilities.
  • Knowledge of extended health care (Physiotherapy, Chiropractic, Massage Therapy, Naturopathic Medicine) is highly desirable to understand clinical workflows better.
