Job summary
Reporting to the Chief Cultivator, Special Projects, the Project Coordinator, Global Cultivation provides project coordination, operational support, and communication management across Aurora's global cultivation network. This role serves as a central coordination point for cultivation initiatives, supporting cross-functional collaboration, knowledge sharing, performance reporting, and strategic projects.
The Project Coordinator works closely with cultivation leaders and functions as an integration point across multiple sites to organize information, monitor project progress, coordinate meetings and action plans, facilitate communication, and ensure key stakeholders receive the information needed to make timely business decisions. The rolealso supports the development of standardized processes, training resources, and knowledge-sharing platforms that drive consistency and continuous improvement across global cultivation operations.
Key Responsibilities:
Project Coordination & Strategic Support
- Coordinate multiple cultivation projects simultaneously, ensuring timelines, deliverables, risks, and action items are tracked through completion.
- Support the Chief Cultivator in planning, organizing, and executing strategic cultivation initiatives.
- Translate high-level strategic direction into organized project plans with clear ownership, timelines, and deliverables.
- Monitor project progress and proactively identify risks, roadblocks, and opportunities for improvement.
- Support cross-functional initiatives involving Cultivation, Quality, Operational Excellence, Engineering, Business Integrations, Supply Chain, and other business partners.
- Assist in developing project documentation, presentations, reports, and executive updates.
- Calender expenses, travel (booking, logistics) – to the Chief- most heavy lifting for administrative duties
Global Cultivation Coordination
- Coordinate weekly global cultivation meetings, including agenda development, meeting facilitation, documentation of decisions, and tracking action items.
- Support the collection, consolidation, and analysis of global cultivation metrics and KPIs.
- Prepare recurring reports, dashboards, and executive summaries highlighting operational performance, trends, and key insights.
- Facilitate communication across global cultivation teams to ensure consistent information flow and alignment on priorities.
- Help prioritize and triage incoming requests, initiatives, and information for the Chief Cultivator to support efficient decision making.
- Ensure important updates, learnings, and business priorities are communicated to the appropriate stakeholders.
knowledge, Skills & Abilities:
- Develop and maintain centralized knowledge-sharing platforms for cultivation
- Support the development of new training materials, onboarding resources, and learning programs for cultivation teams.
- Assist in identifying opportunities to improve operational consistency through documentation, communication, training initiatives, and standardized operating procedures (SOPs). Serve as a central coordinator who connects global cultivation sites, ensuring priorities and communications from the Chief Cultivator are effectively translated and implemented across the network.
Reporting & Analysis
- Analyze and summarize cultivation data for specific projects and strategic initiatives at the direction of the Chief Cultivator, translating findings into concise, actionable insights.
- Maintain project trackers, reporting tools, and dashboards that support the Chief Cultivator's strategic initiatives and facilitate visibility across global cultivation teams.
- Compile information and metrics from multiple cultivation sites to support executive reporting, business reviews, and cross-site initiatives.
- Identify trends, risks, and opportunities related to assigned strategic projects and communicate recommendations to the Chief Cultivator.
Communication & Stakeholder Management
- Organize and facilitate meetings with internal and external stakeholders.
- Document meeting outcomes, decisions, risks, and action items while ensuring timely follow-up.
- Build strong working relationships across cultivation, operations, and corporate teams.
- Act as a liaison between cultivation leadership and cross-functional partners to improve communication and project execution.
- Support leadership with presentations, briefing materials, and communications.
Operational Support
- Maintain project documentation, action logs, communications, and records for initiatives led or sponsored by the Chief Cultivator, ensuring information is organized, current, and easily accessible.
- Support communication for cultivation trials, operational initiatives, and special projects as required.
- Coordinate information gathering across departments to support project execution and reporting.
Education, & Experience:
- 3+ years of experience in project coordination, project management, program coordination, or operations support.
- Experience coordinating multiple projects in a fast-paced environment.
- Strong organizational and time management skills with exceptional attention to detail.
- Advanced Microsoft Excel skills with the ability to analyze and summarize complex data.
- Experience preparing dashboards, reports, and executive presentations.
- Excellent written and verbal communication skills.
- Ability to synthesize large volumes of information into clear recommendations and action plans.
- Strong stakeholder management and relationship-building skills.
- Self-starter with the ability to work independently while managing competing priorities.
Preferred
- Experience supporting agricultural, cultivation, manufacturing, food production, pharmaceutical, or other regulated industries.
- Familiarity with cannabis cultivation principles and production environments.
- Experience coordinating cross-functional or global projects.
- Experience developing training materials, knowledge management systems, or continuous improvement initiatives.
- Working knowledge of Microsoft Project, SharePoint, Teams, Power BI, or similar collaboration and reporting tools.
