KAN Recruitment is currently seeking an organized, personable, and professional Office Assistant for a well-established specialty practice located in Kelowna, BC.

This is an excellent opportunity for someone who enjoys working with people, thrives in an organized and professional environment, and takes pride in providing exceptional patient service. The Office Assistant will support the day-to-day operations of the practice through administrative duties, patient coordination, accurate documentation, and general clinical support.

The successful candidate will be reliable, detail-oriented, and comfortable balancing multiple priorities while helping create a calm and welcoming experience for patients.

Responsibilities

  • Greet patients and manage the check-in process in a friendly and professional manner.
  • Ensure patient information and required documentation are complete and accurate.
  • Schedule and coordinate patient appointments.
  • Communicate with patients regarding appointments, treatment expectations, financial policies, and post-operative instructions as directed by clinical staff.
  • Prepare, maintain, and update patient charts, medical histories, consent forms, and insurance information.
  • Respond to patient inquiries with professionalism, empathy, and discretion.
  • Maintain accurate documentation and support general administrative and front-office duties.
  • Protect patient privacy and confidentiality while following applicable policies and procedures.
  • Assist with sterilization and preparation of treatment areas and instruments.
  • Work closely with clinical and administrative team members to support efficient daily operations.
  • Assist with additional duties as required.

Qualifications

  • High school diploma required.
  • Previous experience in a medical, dental, clinical, hospitality, or customer-service environment is considered an asset.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask and prioritize in a busy environment.
  • Professional, friendly, and patient-focused approach.
  • Strong attention to detail and accuracy.
  • Reliable, accountable, and comfortable working as part of a team.
  • Strong problem-solving skills and ability to adapt to changing priorities.
  • Commitment to maintaining confidentiality and professionalism.

Computer Skills

  • Comfortable using Microsoft Office, email, and scheduling software.
  • Strong general computer skills.
  • Accurate and efficient typing and data-entry abilities.
