Full job description

We're a locally owned independent veterinary clinic looking for a friendly, organized, and compassionate team member to join us as a Veterinary Receptionist & Assistant. This combined role supports both front-desk operations and hands-on patient care, making it ideal for someone who loves animals and enjoys variety in their workday.

What You'll Do

Reception & Client Care

  • Greet clients warmly in person, by phone, and by email — you're the first impression of our clinic
  • Schedule appointments, confirm bookings, and manage the daily calendar using IDEXX Neo Software
  • Check patients in and out, process payments, and maintain accurate records of client communications
  • Complete end of day settlement, and opening and closing procedures
  • Answer questions about services, pricing, and general pet care
  • Preparing admission paperwork for surgical patients
  • Communicating with other staff to ensure all duties completed
  • Contacting referral and emergency facilities as directed
  • Assist in keeping the hospital clean and organized
  • Assist in ordering food and medication for clients, in-person and through our web store

Veterinary Assistant Duties

  • Assist veterinarians and technicians during exams, procedures, x-rays and other treatments
  • Safely handle and restrain animals of varying sizes and temperaments
  • Prepare exam rooms and surgical areas; clean and sterilize equipment
  • Accurately communicate to staff a client’s pet health concerns
  • Assist with client education, and discuss home care instructions with clients
  • Help with inventory, stocking, and basic lab tasks, including unpacking of orders
  • Complete referral forms and requests as directed

What We're Looking For

  • Genuine love for animals and compassion for their owners, strong customer service
  • Strong communication skills and a calm, professional demeanor — even during busy or stressful moments
  • Ability to multi-task and stay organized in a fast-paced environment
  • Comfort handling dogs, cats, and other companion animals
  • Willingness to learn and work with various software (Idexx Neo record management system, MyVetStore webstore)

Experience

  • Previous veterinary clinic or animal-care experience preferred but not required
  • Customer service or hospitality background of at least 1 year
  • Medical receptionist background is an asset
  • Veterinary Assistant Certificate is an asset
  • We're happy to train the right person — attitude and reliability matter most

Requirements

  • High school diploma or equivalent
  • Able to lift up to 20kg and stand for extended periods
  • Flexible availability, including some evenings or Saturdays as needed
  • Written and oral communication skills
  • Professionalism and confidentiality
