EDMONTON BONE AND JOINT CENTRE
MEDICAL OFFICE ASSISTANT
Full Time

Hours of Work:
Monday to Friday Full Time hours (Daytime)
Position Summary:
Under the direction of the Team Leader and Clinic Manager the Medical Office Assistant (MOA) works collaboratively with the multidisciplinary team to support patients, families, and caregivers through the continuum of care.
The MOA provides essential administrative and clinical support to the Case Manager and Surgeons. They help organize and schedule patient care, maintain records, and build positive relationships with patients and external stakeholders such as Alberta Health Services.
KEY RESPONSIBILITIES':
- Coordinate internal clinic and external appointments related to exams, testing, and education.
- Maintain accurate waitlists in conjunction with the Case Manager using the Electronic Medical Record (EMR).
- Build rapport with patients and their families.
- Prepare consult packages, teaching charts, and OR charts according to chart order protocols.
- Complete clinic reconciliation with Case Manager and ensure EMR is updated after each clinic.
- Collect data for quality improvement or operational purposes as requested by management.
- Develop OR schedules within the EMR system based on input from Team Leads and Clinic Manager.
- Manage Surgeon dictations: send to transcriptionists and upload to EMR in a timely manner.
- Follow up with no-show patients and reschedule appointments as needed.
- Room patients and maintain clean, organized exam rooms.
- Prioritize and respond to phone calls/messages within 48 hours; triage as necessary.
- Check in patients for clinic appointments.
- Perform various administrative tasks: faxing, scanning, shredding, photocopying, assembling patient information booklets.
- Schedule and follow up on patient education sessions as needed.
- Maintain confidentiality of all patient and organizational information.
- Manage clinic flow until completion, which may occasionally require staying beyond regular hours.
- Assist other teams as needed based on workload.
- Maintain data accuracy in the VAX system.
- Participate in ongoing quality improvement initiatives.
- Perform other administrative duties as assigned by management.

- Proficiency in Microsoft Office and clinical EMR systems.
- Awareness of scope of practice boundaries.
Qualifications:
Education:
Medical Office Administration diploma or certificate, or equivalent work experience.
Experience:
Minimum of 3 years of recent experience in a medical office or clinical setting, preferably in orthopedics.
