What will you do?

The Executive Assistant will play a pivotal role in supporting executive leadership within a global organization, overseeing Canadian operations while ensuring the smooth operation of our Mississauga headquarters. This dual-function position requires a professional who is highly organized, detail-oriented, and adapt at multitasking. This role involves providing high-level administrative support to executives while managing office operations and fostering a productive and welcoming work environment.

Responsibilities:

  • Provide administrative support to executives (V¨P level), including calendar management, meeting planning, and correspondence handling.
  • Coordinate and prepare documents for meetings, presentations, and reports.
  • Manage travel arrangements and itineraries for executives.
  • Handle confidential information with discretion and professionalism.
  • Ensure the processing of Executive expenses on Concur.
  • Assisting with the planning and logistics of social events, including venue selection, catering, and guest lists.
  • Preparing materials for events and social committee meetings, including agendas and supporting documents.
  • Maintain and organize digital files and folders.
  • Perform general office duties such as ordering supplies, managing office equipment, and liaising with vendors.
  • Assist and participate in executive meetings and special projects.

Qualifications and Requirements:

  • Proven experience as an executive assistant or in a similar role (5–8 years).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Concur) and other relevant software.
  • Ability to work independently and manage multiple tasks simultaneously.
  • High level of professionalism and confidentiality.
  • Great attention to detail and problem-solving skills.
  • Experience with remote work tools and platforms.
