We are currently seeking a professional, organized, and compassionate Medical Office Assistant to join our team in the Comox Valley. This is a part-time/full-time, hybrid position that includes both remote administrative work and regular in-person work within the clinic.
This role is ideal for someone who thrives in a fast-paced clinical environment and is passionate about providing outstanding patient care and administrative support.
Position Summary
The Medical Office Assistant plays an essential role in managing clinic operations by coordinating patient care, managing scheduling and communication, and helping provide a seamless patient experience from referral through follow-up.
The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities while maintaining professionalism, empathy, and accuracy.
As a hybrid position, the role requires the ability to work effectively both independently from home and collaboratively in person at our Comox Valley clinic.
Key Responsibilities
- Greet and assist patients in a welcoming and professional manner
- Coordinate patient appointments, referrals, and follow-up bookings
- Manage incoming phone calls, emails, and patient inquiries
- Maintain accurate patient records within the electronic medical record system
- Process referrals, requisitions, and medical documentation
- Liaise with physicians, allied health providers, and external clinics
- Support physicians and clinical staff with administrative tasks
- Ensure patient confidentiality and compliance with privacy standards
- Assist with clinic flow and day-to-day office operations
- Perform billing, data entry, and general administrative duties as required
- Complete assigned administrative work remotely when appropriate
- Maintain reliable communication and productivity while working from home
Qualifications and Skills
- Completion of a Medical Office Assistant program or equivalent experience
- Previous experience in a medical clinic or healthcare environment is preferred
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- High attention to detail and accuracy
- Proficiency with electronic medical record systems and Microsoft Office applications
- Ability to work independently and collaboratively within a team
- Professional, compassionate, and patient-focused approach
- Reliable internet connection and an appropriate home workspace
- Ability to attend the Comox Valley clinic for scheduled in-person shifts
