Medical Administrative Assistant – Third Party Claims

Location: MedCare Clinics
Job Type: Full-Time / Part-Time Available

About the Role

MedCare Clinics is seeking a highly organized and detail-oriented Medical Administrative Assistant to support our growing third-party insurance and uninsured medical billing department. The successful candidate will be responsible for tracking, reconciling, and following up on third-party insurance claims, ensuring timely payments, accurate billing records, and effective communication with insurers, legal representatives, employers, and patients.

This position is ideal for someone with experience in medical administration, insurance claims processing, medical billing, or accounts receivable who enjoys working with numbers, problem-solving, and maintaining accurate records.

Key Responsibilities

  • Track and monitor third-party insurance and uninsured medical claims from submission to payment.
  • Reconcile payments received against invoices and billing records.
  • Follow up on outstanding claims with insurance companies, law firms, employers, and other third-party payers.
  • Maintain accurate claim and payment tracking spreadsheets and reports.
  • Communicate professionally with patients, and insurers regarding claim status and billing inquiries.
  • Assist with monthly reconciliation and reporting.
  • Maintain confidentiality and comply with privacy regulations and clinic policies.
  • Support administrative and billing operations as required.

Qualifications

Required:

  • Minimum 1 year of administrative experience.
  • Accuro EMR (required)
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office, particularly Excel.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong analytical and problem-solving abilities.

Preferred:

  • Experience in a medical clinic, healthcare environment, legal office, insurance office, or accounts receivable role.
  • Experience with medical billing and third-party insurance claims.
  • Familiarity with EMR systems, preferably Accuro EMR.
  • Knowledge of uninsured services billing, motor vehicle accident claims, WSIB, legal requests, and extended health insurance billing.
  • Bookkeeping or accounting experience is considered an asset.
