As our dental administrator, you are the first point of contact for visitors and callers, ensuring they feel valued from the very first hello. Your role will be essential in keeping our office running smoothly, supporting our team, and creating an environment in which everyone feels welcome.

Responsibilities

  • Greet patients and visitors professionally at the front desk, providing excellent customer service and warmth
  • Manage incoming calls, emails, and text messages.
  • Scheduling appointments for patients of our dentist and dental hygienist, and answering inquiries efficiently
  • Maintain accurate electronic dental records and x-rays using dental software such as Akitu one and Dexis
  • Verify insurance information, process dental insurance claims, and collect payments
  • Assist with administrative tasks including filing, data entry, and document management
  • Coordinate communication between patients, and clinical staff regarding dental referrals
  • Support the clinical team with administrative needs related to dental records
  • Ensure compliance with privacy regulations and office policies
  • Handle incoming correspondence and manage office supplies to ensure operational efficiency
  • Manage accounts receivable
  • Ensure everyone is prepared for upcoming appointments

What you'll bring:

  • Prior experience as a Dental Receptionist or in a Medical Office setting is highly preferred
  • A friendly, approachable personality and a love of helping people
  • Comfort with dental management software
  • Excellent organizational skills with attention to detail in data entry and record keeping
  • Experience working in a busy office environment
  • Demonstrate ability to handle front desk responsibilities calmly with professionalism and courtesy
  • Office experience in administrative roles within healthcare settings is advantageous
  • Ability to multitask effectively while maintaining a high level of accuracy
  • Strong communication skills both written and verbal are essential for success in this role

Current hours required: Monday's 7:30am-7:00pm, Tuesday's 7:30am-5:00pm, Wednesday's 7:30am-5:00pm and Thursday's 7:30am-5:00pm.
