Office AdministratorJob Overview

Join our healthcare team as a Medical Office Administrator and play a key role in delivering anexceptional patient experience while supporting the efficient operation of our medical practice. As the first point of contact for patients, families, and visitors, you will provide professional, compassionate service while coordinating administrative and clerical functions that support high-quality patient care.

In this role, you will manage appointment scheduling,maintain accurate electronic medical records, facilitate communication between patients and healthcare providers, process administrativedocumentation, and help ensure the smoothday-to-day operation of the clinic. Success inthis position requires excellent organizational, communication, and customer service skills, alongwith the ability to maintain confidentiality and work effectively in a fast-paced healthcare environment.

Duties

  • Welcome patients, visitors, and healthcare partners in a professional, courteous, and respectful manner.
  • Schedule, confirm, reschedule, and coordinate patient appointments using electronic scheduling systems.
  • Register patients and verify demographic, healthinsurance, and contact information.
  • Maintain accurate and confidential electronic medical records in accordance with privacy legislation and organizational policies.
  • Answer and direct telephone calls, emails, and other communications promptly and professionally.
  • Process referrals, requisitions, medical forms, andother administrative documentation.
  • Coordinate communication between physicians, nurses, allied health professionals, pharmacies, laboratories, and external healthcare providers.
  • Collect payments, issue receipts, reconcile daily transactions, and support billing processes as required.
  • Monitor office supplies, place orders, and maintain inventory for administrative and clinical needs.
  • Scan, file, and organize medical andadministrative documents using electronic document management systems.
  • Support physicians and clinical staff withadministrative tasks before, during, and afterpatient visits.
  • Assist with patient intake, consent forms, and appointment preparation.
  • Maintain a clean, organized, and welcomingreception and administrative area.
  • Ensure compliance with applicable healthcare regulations, infection prevention protocols, privacy requirements, and workplace policies.
  • Contribute to quality improvement initiatives and participate in team meetings and ongoing professional development.
  • Perform other administrative duties as assigned to support efficient clinic operations.

This version is suitable for most primary care clinics, specialty practices, and community health settings. I can also tailor it for a family practice, walk-in clinic, specialist office, hospital outpatient

Pay: $17.60-$20.00 per hour
