About HAP Transportation Group

Established in 2006, HAP Transportation Group Ltd. is a growing, asset-based transportation and logistics company headquartered in Delta, British Columbia. We provide container drayage, intermodal, cross-border, line haul, and warehousing solutions across Canada and the United States.

Position Overview

We are currently looking for an experienced and detail-oriented Invoicing Specialist – Transportation & Logistics to join our growing team.

The successful candidate will be responsible for ensuring accurate and timely customer invoicing, reviewing transportation documentation, resolving billing discrepancies, and working closely with our Operations, Dispatch, Customer Service, and Accounting teams.

This position is ideal for someone who has strong transportation billing experience, excellent attention to detail, and hands-on TruckMate experience.

Key Responsibilities

  • Prepare, review, and process customer invoices accurately and within required timelines.
  • Generate and process invoices using TruckMate.
  • Review freight rates, rate confirmations, fuel surcharges, accessorial charges, detention, waiting time, and other applicable charges.
  • Verify Bills of Lading (BOLs), Proofs of Delivery (PODs), delivery receipts, and other supporting documents before invoicing.
  • Ensure shipment details, customer information, rates, and billing documentation are complete and accurate.
  • Identify, investigate, and resolve billing discrepancies before invoices are submitted.
  • Follow up on missing paperwork or incomplete documentation to prevent billing delays.
  • Process invoice adjustments, corrections, and credits when required.
  • Maintain accurate and organized customer billing records.
  • Respond professionally to billing inquiries and provide supporting documentation as required.
  • Work closely with Dispatch, Operations, Customer Service, and Accounting teams to resolve invoicing issues efficiently.
  • Assist with month-end invoicing, reconciliation, and other billing-related activities.
  • Maintain a high level of accuracy while managing a high volume of invoices and transportation documentation.

Qualifications & Requirements

  • Minimum 2–3 years of invoicing or billing experience is required, preferably within the transportation, trucking, freight, or logistics industry.
  • Hands-on TruckMate experience is mandatory.
  • Strong understanding of transportation invoicing and freight documentation.
  • Experience working with BOLs, PODs, rate confirmations, freight rates, fuel surcharges, and accessorial charges.
  • Excellent attention to detail and a strong commitment to accuracy.
  • Strong organizational and time-management skills.
  • Good working knowledge of Microsoft Excel and Microsoft Office.
  • Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
  • Strong communication and problem-solving skills.
  • Ability to work effectively and collaboratively with different departments.
  • Positive, professional, and team-oriented attitude.
