Full job description

The Patient Engagement & Marketing Coordinator plays a key role in supporting practice growth, patient retention, and day-to-day administrative coordination. This position is responsible for marketing and social media activities, patient outreach and reactivation, referral management, team engagement initiatives, and administrative follow-ups, including insurance-related communication. The role bridges patient experience, marketing, and operational support to ensure a positive and well-organized clinic environment.

Key Responsibilities

Patient Engagement & Outreach

  • Proactively contact inactive or overdue patients by phone to reactivate treatment and schedule appointments
  • Support patient retention initiatives and follow-up communications
  • Serve as a friendly, professional point of contact for patient-related inquiries as assigned

Marketing & Communications

  • Manage and maintain the clinic’s social media presence (content creation, posting, engagement)
  • Plan internal and external marketing initiatives and campaigns
  • Support brand consistency across communications and patient-facing materials

Referral Management

  • Track patient referrals and ensure timely follow-up
  • Prepare and send referral thank-you cards and acknowledgments
  • Maintain accurate referral records

Administrative & Insurance Support

  • Follow up with insurance companies regarding claims, outstanding items, and documentation
  • Assist with administrative tasks that support front-desk and clinical workflows
  • Maintain organized records and ensure tasks are completed in a timely manner

Team & Practice Support

  • Coordinate internal initiatives
  • Support a positive, collaborative clinic culture
  • Assist leadership with special projects and practice growth initiatives as needed

Qualifications & Skills

  • Previous experience in a dental or healthcare setting preferred
  • Strong communication skills, both written and verbal
  • Comfortable making outbound phone calls to patients
  • Experience with social media platforms and basic marketing concepts
  • Highly organized with strong attention to detail
  • Professional, patient-focused, and team-oriented
  • Ability to manage multiple tasks and prioritize effectively

Working Conditions

  • Clinic-based position in a fast-paced dental practice
