$20–$25 per hour | Full-time or Part-time | Monday–Friday

About the Position

Barrhaven Foot Care and Manotick Foot Care are looking for a friendly, dependable, and highly organized Medical Receptionist / Clinic Administrator to join our team beginning in September 2026.

This position will be primarily based at our Manotick clinic, with work at our Barrhaven clinic as needed. Applicants must have reliable transportation and be comfortable working at both locations.

We are looking for someone interested in a long-term position who takes pride in providing excellent customer service and keeping a clinic running smoothly.

Our clinics have a comfortable, professional work environment with a small team. We have a no-ego, all-hands-on-deck approach—everyone contributes to keeping the clinic organized, welcoming, clean, and running efficiently.

Schedule

Full-time: Monday–Friday, 5 days per week
Part-time: 2 days per week
Typical hours: 8:00 a.m.–4:45 p.m.

There are no regular evenings or weekends.

Responsibilities

As the first point of contact for many of our patients, strong communication and customer service skills are extremely important.

Responsibilities include:

  • Answering incoming telephone calls professionally and confidently
  • Responding to patient emails with clear, professional written communication
  • Booking, confirming, rescheduling, and cancelling appointments
  • Greeting and checking patients in and out
  • Processing payments using a point-of-sale terminal
  • Assisting with insurance-related paperwork and administrative tasks
  • Scanning and organizing patient documents
  • Contacting patients by telephone and email as required
  • Receiving, organizing, and managing incoming orthotics
  • Keeping the reception and administrative areas organized
  • Helping maintain a clean and professional clinic environment
  • Vacuuming, mopping, and completing general clinic cleaning as needed
  • Assisting other team members with day-to-day clinic operations

Who We're Looking For

Previous medical reception experience is an asset, but it is not required. We are happy to train the right person who has strong communication, customer service, organizational, and computer skills.

The ideal candidate is:

  • Comfortable communicating with patients by email
  • Dependable and punctual
  • Highly organized and detail-oriented
  • Comfortable working independently and without constant supervision
  • Someone who takes initiative and looks for what needs to be done
  • Able to stay productive during quieter periods
  • Calm and professional when dealing with difficult or frustrated patients
  • Comfortable learning new systems and technology
  • Willing to help with all aspects of keeping the clinic running smoothly
  • Interested in becoming a long-term member of our team

Strong communication is essential for this position. If something is unclear, a problem arises, or assistance is needed, we expect our team members to communicate rather than allow an issue to go unresolved.

Technology

Our clinics use:

  • Jane clinic management software
  • Gmail / Google Workspace
  • Point-of-sale payment terminals

Experience with Jane is an asset but is not required. Training will be provided.

Compensation & Benefits

$20–$25 per hour, based on experience and qualifications.

Following successful completion of a 3-month probationary period, eligible employees receive:

Location

The successful candidate will work primarily at our Manotick clinic but must be available to work at both our Manotick and Barrhaven locations when required.

Reliable transportation to both locations is required.
