School Overview

Located on the scenic waterfront in North Vancouver, Bodwell High School is a university-preparatory independent day and boarding school for students in Grades 8–12. For more than 35 years, Bodwell has welcomed students from Canada and around the world into a vibrant, multicultural learning community.

Bodwell offers a rigorous academic program, strong student support, immersive boarding life, and a clear focus on university preparation. While we are known for our global community, we are also growing our local day and domestic boarding pathways for families in Metro Vancouver and across Canada.

We are seeking a permanent, full-time Student Registration Officer to join our Student Recruitment and Registration team. This role is ideal for a highly organized, accurate, service-minded professional who enjoys working with families, students, agents, and school colleagues in a busy international education environment.

About the Role

The Student Registration Officer supports students and families through the admissions, registration, acceptance, payment, documentation, pre-arrival, and re-registration process.

This is a operations-focused and family-facing role. The successful candidate will work closely with recruiters, registration colleagues, academic and boarding leaders, student counsellors, accounting staff, and other departments to ensure that students are properly admitted, registered, documented, and prepared for arrival.

The role requires excellent attention to detail, strong written communication, cultural sensitivity, confidentiality, and the ability to manage multiple deadlines. The Registration Officer will use Salesforce, the school’s database, Excel, and other data systems as part of daily work.

Key Responsibilities

The Student Registration Officer will:

  • Respond professionally to admissions and registration inquiries from families, students, agents, and recruitment partners.
  • Review applications for completeness, accuracy, consistency, and required supporting documents.
  • Help determine whether applications are direct-family or agent-based and coordinate with the appropriate recruitment staff.
  • Support Recruitment Managers with application review, interview scheduling, admissions follow-up, and next steps.
  • Prepare and issue Letters of Offer, invoices, Letters of Acceptance, receipts, custodianship documents, and acceptance packages.
  • Collect, organize, and follow up on required student documents, including passports, transcripts, medical information, custodianship forms, parent contact forms, English testing, arrival information, study permit updates, and other registration materials.
  • Support pre-arrival follow-up, including pending documents, Duolingo testing, arrival/departure forms, airport pickup information, payment status, and study permit updates.
  • Maintain accurate student records in Salesforce, the school admin system, Excel files, and physical student files.
  • Support re-registration for current students, including fee reminders, payment tracking, receipts, updated records, and follow-up with families, agents, counsellors, and Finance.
  • Assist with deferrals, cancellations, visa rejections, refunds, damage deposit deductions, and student status updates according to school procedures.
  • Coordinate custodianship and notarization processes, including document preparation, appointment coordination, and communication with relevant departments.
  • Support data consistency, reporting, and administrative follow-up related to applications, registrations, student records, and enrolment status.
  • Communicate clearly and professionally with families, agents, recruiters, accounting, counsellors, administrators, boarding staff, and school leadership.
  • Handle confidential student, family, financial, medical, and immigration-related information with discretion.
  • Help improve registration workflows, templates, checklists, documentation, and communication processes.
  • Contribute to a welcoming, efficient, accurate, and student-centred admissions and registration experience.

Your Strengths, Experience, and Abilities

The ideal candidate will have:

  • An associate degree, bachelor’s degree, diploma, or equivalent experience in a related field.
  • At least 2 years of relevant experience in administration, admissions, registration, student records, customer service, or education.
  • Excellent organization, accuracy, follow-through, and attention to detail.
  • Strong written English communication skills.
  • Professional, calm, and clear communication with families, students, agents, and colleagues.
  • Strong computer skills, including Microsoft Excel, data systems, and CRM or student information systems.
  • Ability to manage confidential information carefully and professionally.
  • Strong teamwork skills and cultural sensitivity.
  • Ability to manage multiple deadlines, competing priorities, and detailed procedures.
  • Comfort working in a fast-paced, multicultural school environment.
  • A positive attitude and interest in professional growth in an education setting.

Preferred Qualifications

The following would be considered assets:

  • Experience in an independent school, international school, boarding school, college, university, or education agency.
  • Experience with admissions, enrolment, registration, student records, finance-related administration, or international student documentation.
  • Experience working with international families, agents, or multilingual communities.
  • Familiarity with study permit, custodianship, notarization, or international student admissions processes.
  • Experience using Salesforce, a student information system, or another CRM/database platform.
  • Strong Excel skills and comfort maintaining accurate spreadsheets and reports.
  • Additional language ability, especially in a language commonly used by Bodwell families.
