Customer Service & Office Administrator

Location: Brampton, ON — on-site
Type: Full-time, permanent | Monday–Friday, [8:00 AM – 4:30 PM]

The role

We are hiring a Customer Service & Office Administrator to be the main point of contact for our commercial and fleet customers and to keep the office running behind them.

Roughly 70% of the job is customer-facing — answering the phone and solving whatever is on the other end of it. A late delivery, a pricing question, an invoice that doesn't look right, issue with customer delivery. Problems come in without instructions attached. The expectation is that you take ownership from the first call, find out what actually happened, and stay with it until it's closed.

The other 30% is administration — the records, filing, and office coordination that keep everything else working.

We are a small team, so there is no script and no tier-two to escalate to by default. That means more independence than a large call centre, and more responsibility.

Responsibilities

Customer service and issue ownership

  • Handle incoming customer calls and emails as first point of contact
  • Take and enter orders accurately
  • Own each issue end to end: investigate the cause, coordinate the fix, follow up with the customer, confirm it's resolved
  • Dig into discrepancies — pull the order, the delivery paperwork, and the invoice, and work out where things diverged
  • Coordinate with dispatch, drivers, suppliers, and accounting to get answers
  • Set expectations honestly, including when the news isn't good, and follow through on what you commit to
  • Escalate early when an issue is beyond your authority, with the facts already assembled
  • Flag recurring problems rather than solving the same one repeatedly

Office administration

  • Maintain digital and paper filing for customer, vendor, and compliance records
  • Set up new customer accounts and maintain records in the ERP system
  • Administer customer cards and account credentials — requests, replacements, limits, cancellations
  • Order supplies, coordinate couriers, manage incoming mail and deliveries
  • General reception: greet visitors, handle walk-ins and drivers at the counter
  • Assist with reporting, data entry, and ad-hoc requests from finance and operations

Billing support

  • Review invoices for accuracy and resolve customer billing questions
  • Prepare credit memos and rebills as approved
  • Support accounts receivable with payment follow-up on assigned accounts

Requirements

  • 2+ years in customer service, order desk, dispatch, or office administration
  • Track record of resolving customer problems independently, not just routing them
  • Strong written and spoken English; professional phone manner under pressure
  • Comfortable working in an ERP or accounting system; accurate data entry
  • Excel: sorting, filtering, VLOOKUP/XLOOKUP
  • Able to manage competing priorities and switch between interrupt-driven and focused work
  • Legally entitled to work in Canada

Considered an asset

  • Background in distribution, transportation, logistics, or wholesale
  • NetSuite, QuickBooks, Sage, or comparable ERP
  • Experience handling billing disputes or accounts receivable
  • Punjabi or Hindi

Pay: $19.00-$22.00 per hour
