Quality Control Specialist

As we continue to grow, we are looking for a detail-oriented and service-focused Quality Control Specialist to join our Operations team.

About the Role

Reporting to the Director of Underwriting, the Quality Control Specialist plays a key role in ensuring mortgage files are accurate, compliant, and fully satisfied prior to funding.

This position acts as a central point of coordination between underwriting, brokers, lawyers, and funding teams to help ensure smooth and timely closings while maintaining strong quality assurance standards.

Key Responsibilities

  • Review mortgage commitments and supporting documentation to ensure all conditions have been satisfied in accordance with company policies and guidelines
  • Verify legal instructions, pre-funding worksheets, and mortgage documentation for accuracy and completeness
  • Ensure all mortgage files are properly coded and maintained within internal systems for reporting and compliance purposes
  • Coordinate with brokers, lawyers, and closing service providers to support accurate and timely mortgage closings
  • Monitor pipelines and follow up on outstanding conditions, registration documents, and closing requirements
  • Escalate discrepancies, compliance concerns, or unusual transactions to the appropriate internal stakeholders
  • Maintain organized and accurate digital file records to support strong quality assurance and audit results
  • Work collaboratively with underwriting, funding, and operations teams to resolve issues efficiently
  • Provide underwriting support and team coverage as required

Qualifications & Experience

  • 2–3 years of experience in mortgage administration, fulfillment, quality control, or lending operations
  • Post-secondary education in Business, Finance, or a related field is preferred
  • Strong understanding of mortgage documentation, closing processes, and compliance requirements
  • Experience within private lending and/or construction financing is considered an asset
  • Exceptional attention to detail with strong organizational and time-management skills
  • Strong communication and relationship-building abilities
  • Sound judgment, analytical thinking, and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy
